Job Description

The Business Operations Specialist provides operational support across multiple functions including project coordination, systems support, and the development and maintenance of procedures and policies. This role works closely with operations leadership, the Information Technology department, various business lines, and third-party vendors to ensure operational initiatives are effectively implemented, documented, and maintained with a focus in operational excellence, regulatory compliance, and process consistency across areas. Key Responsibilities Project Support Assist with operational and enterprise level projects, including implementing new products and services, process improvements, and regulatory initiatives. Assist in creating project plans, establishing project scope and risk, communications, tracking project deliverables, testing, and post-implementation reviews. Collaborate with cross-functional teams including, but not limited to Information Technology, Compliance, BSA, and business lines to coordinate support, research, development, testing, etc. Demonstrate comprehensive expertise in designated areas of responsibility and ensure ongoing proficiency with relevant software and business applications that support effective execution of assignments. Provide training to applicable associates and/or trainers on new or enhanced products and services, as needed. Serve as liaison between operations staff and technology teams to resolve system-related issues as it relates to project implementation, including system configuration changes, user access coordination, and troubleshooting issues. Procedure Development & Process Improvement Develop, update, and maintain standard operational procedures and policy documentation, including updates due to regulatory changes as needed. Ensure procedures accurately reflect operational practices, regulatory requirements, and internal controls Standardize documentation formats and maintain a centralized procedure library. Document process workflows and recommend enhancements to strengthen controls and streamline processes Assist with operational change management and communication of updates to staff. Support the Bank's documentation retention program by coordinating retention schedules, monitoring compliance with recordkeeping requirements, and facilitating destruction processes in accordance with regulatory and internal policy standards. Knowledge Knowledge of banking laws and regulations and First Hope policies and procedures. Knowledge of established guidelines and procedures related to all job functions. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint). Skills Excellent customer service that meets the bank's standards to internal and external customers. Detail oriented with a high degree of accuracy. Strong organizational and project coordination skills. Effective written and verbal communication skills. Ability to work across multiple functions and manage multiple priorities at once. Ability to work in a fast-paced environment handling multiple tasks simultaneously. Ability to develop effective working relationships with all associates. Education & Experience College Degree or equivalent experience preferred. 3-5 years of banking experience preferred. Process analysis and improvement experience, including writing policy and/or procedures preferred. Physical Requirements & Working Conditions Professional office environment with moderate sound. Ability to travel to branches, off-site training and meetings as required.
