Job Description

The Construction Project Expeditor is responsible for supporting the successful execution of construction projects through the coordination, tracking, and management of project information within Procore. This role serves as the administrative and operational backbone of the project team by ensuring all project documentation, communication, reporting, and workflows are properly maintained and executed in Procore. Key Responsibilities - Procore Administration & Project Controls Maintain and manage all project documentation within Procore. Create and maintain project directories, workflows, permissions, and distribution lists. Ensure project teams are following company standards and required processes within Procore. Monitor project dashboards, reporting, and outstanding items to ensure timely completion. Provide administrative support and troubleshooting assistance for Procore users. Assist in training field and office personnel on company Procore standards and workflows. Documentation Management Process, track, and distribute: RFIs Submittals Change Orders Purchase Orders Meeting Minutes Daily Logs Inspection Reports Closeout Documents Ensure all documentation is current, accurate, and properly routed for approval. Track outstanding items and proactively follow up with responsible parties. Maintain organized electronic project files and records. Project Coordination Support Project Managers and Superintendents with day-to-day project administration. Reporting & Accountability Generate and distribute project reports from Procore for operations, financial tracking, manpower, safety, and compliance. Monitor overdue items and ensure timely responses from project teams and subcontractors. Assist leadership with maintaining operational consistency across all projects. Support project closeout by ensuring all required documentation is completed and submitted. Compliance & Process Enforcement Ensure adherence to company documentation standards and operational procedures. Help enforce consistent use of Procore across field and office teams. Support safety documentation and compliance tracking. Assist in maintaining audit-ready project records. Qualifications High school diploma required; associate degree or construction-related education preferred. 2+ years of experience in construction administration and project coordination. Strong working knowledge of Procore required. Experience in commercial construction, concrete, masonry, or general contracting preferred. Proficiency in Microsoft Office Suite and G Suite. Strong organizational, communication, and follow-up skills. Ability to manage multiple projects and deadlines simultaneously. Detail-oriented with strong problem-solving abilities. Preferred Skills Experience implementing or managing Procore workflows and standards. Understanding of construction documentation processes and project lifecycle management. Familiarity with drawings, specifications, contracts, and submittal processes. Ability to train and support field personnel on software and reporting requirements. Assist with project startup procedures including document setup, contact management, and workflow implementation. Coordinate communication between field teams, subcontractors, suppliers, and clients. Monitor project schedules, material deliveries, permits, inspections, and project milestones. Help identify potential delays or documentation gaps before they impact operations.
