Job Description
Overview Cognitive Organics is seeking a warm, organized, and highly dependable Office Manager for our new Bolivar office. This person will be responsible for helping the office run smoothly day to day. The right fit is someone who can create a welcoming experience for clients and families while also keeping schedules, communication, staff flow, and office operations organized. This is not just a front desk position. We are looking for someone who can take ownership of the office, notice what needs done, communicate clearly, follow through, and help build a calm, professional, well-run environment.
Responsibilities Responsibilities may include:
Managing the daily flow of the Bolivar office Greeting clients and families and helping them feel welcome Answering phones, returning calls, and responding to office messages Scheduling, rescheduling, and confirming appointments Helping new clients understand the intake process Collecting and organizing client paperwork and forms Checking basic insurance information and communicating payment expectations as trained Collecting payments when applicable Monitoring the daily schedule and helping appointments run on time Coordinating communication between clinicians, LENS technicians, leadership, and clients Helping support LENS scheduling and office flow Keeping the waiting area, front desk, and shared spaces clean, calm, and organized Managing office supplies and helping make sure the office is prepared for each day Assisting with scanning, uploading, faxing, records requests, and other administrative tasks Helping identify workflow issues and suggesting improvements Supporting basic billing, credentialing, or administrative follow-up as trained Maintaining confidentiality and HIPAA expectations at all times Creating a steady, professional, and welcoming office environment What We're Looking For The right person will be: Warm, friendly, and professional with clients Highly reliable and consistent Organized and able to manage multiple moving pieces Comfortable taking ownership without needing constant direction Calm under pressure Detail-oriented with scheduling, paperwork, and follow-through Comfortable answering phones and communicating with clients Able to learn new software systems Able to communicate clearly with staff and leadership Respectful of confidentiality and client privacy Comfortable working around children, teens, adults, and families Able to receive feedback and adjust quickly Someone who naturally notices what needs done and follows through No formal degree is required. Preferred Experience Experience in any of the following areas is helpful: Office management Medical, dental, chiropractic, counseling, or wellness office experience Front desk or receptionist work Scheduling and client communication Insurance verification or payment collection Behavioral health or mental health setting Billing, credentialing, or administrative support Managing daily office flow or helping coordinate a small team Schedule This is a full-time, in-person position at our new Bolivar office. The schedule may include daytime and early evening hours as the office grows. Pay Pay is $25-$27/hour , depending on experience. This position is intended for someone who can take real ownership of the office. Pay will be based on experience, reliability, ability to manage office flow, communication skills, and willingness to grow with the role.
