JOB DESCRIPTION HEARD COUNTY SCHOOLS
Bookkeeper (
FLSA:
Non-Exempt) Maintains financial transactions and records for the school.
REPORTS TO
Superintendent or his/her designee
QUALIFICATIONS
Minimum of High School Diploma or GED Additional training/experience in computer applications desired Physically able to perform assigned duties Acceptable criminal background check
KNOWLEDGE, SKILLS, ABILITIES
Knowledge of:
Modern office practices and procedures, including filing systems, receptionist, and telephone techniques; legal provisions, policies, and regulations; correct English usage, spelling, grammar, punctuation, and mathematical concepts; standard office machines and equipment, including computers and a variety of related application software; collection and organization of data and information.
Ability to:
Perform responsible and technical clerical work with accuracy and speed; work independently and with minimal supervision in a multi-task environment of frequent interruptions and changes in task priority; accurately interpret and apply legal mandates, policies, regulations, and guidelines with regard to student records; accurately perform simple mathematical calculations; meet stringent deadlines; communicate effectively in oral and written form; effectively operate a computer and use appropriate application software; understand and follow oral and written directions; deal effectively and courteously with students, parents, school employees and the general public.
PHYSICAL REQUIREMENTS
Must be able to sit for extended periods of time, bend, squat, reach, and lift, carry, push or pull light weights.
JOB OBJECTIVES
Work Habits Handles confidential information regarding the school system, its employees, parents, and students in a professional manner. Observes assigned work hours. Maintains a pattern of prompt and regular attendance. Follows the daily schedule as prescribed. Adjusts to work assignments and/or schedule changes. Performance Responsibilities Demonstrates prompt and regular attendance Maintains all financial transactions and records in accordance with system guidelines, Local School Accounting Chart of Accounts, and HCSS Board Policies and Administrative Rules. Collects funds from students, parents, staff, community organizations, individuals and student support organizations; collects funds for school clubs; processes all school money and prepares deposits; posts all receipts and disbursements to the local school accounting program. Processes all funds collected for athletic and special events; ensures all required documentation is completed for athletic and special events. Ensures prepared deposits are properly secured in the primary school vault; follows procedures and processes required documentation regarding school vault. Performs daily verification of deposits and disbursements to school's bank account. Reconciles online student activity payments. Verifies vendor invoices and resolves discrepancies. Ensures invoices are paid in accordance with the terms of payment. Routes all purchase requests with attached supporting documentation to the Principal for approval. Verifies funds are available for all purchase requests and check requests prior to processing orders and payments. Processes and posts approved monthly purchase card transactions; processes all approved orders, including online orders and purchase orders. Submits monthly financial reports and District payments to the appropriate central office department by the required deadline. Assists principal with budget development. Processes parking decals; maintains parking receipt log Performs other duties as assigned by appropriate administrator. Training and Experience Maintains expertise in assigned area. Participates successfully in professional learning opportunities available to increase skill and proficiency related to assignment. Participates successfully in computer training to attain and/or maintain skills necessary to achieve proficiency on performance responsibilities. Personal Qualities Demonstrates a positive attitude toward work assignment. Accepts responsibility for the work assigned. Maintains appropriate appearance and personal hygiene. Accepts constructive criticism.
