Position Overview We are looking for an experienced and highly organized "Administrative Manager" to oversee the day-to-day administrative and operational management of our manufacturing facility in the United States. The successful candidate will work closely with the Managing Director and will play a key role in coordinating facility departments, managing administrative and HR processes, ensuring legal and operational compliance, monitoring budgets and ERP records, and supporting the effective operation of the facility. Required Qualifications Bachelor's degree in business, management, engineering, or a related field. Minimum 7-10 years of relevant professional experience, preferably within a manufacturing, industrial, mining, or similar operational environment. Previous experience in a managerial or facility administration role with responsibility for multiple departments or functions. Strong background in budgeting, cost tracking, purchasing, and vendor management. Experience coordinating HR processes — recruitment, employee relations, attendance, performance, leave, overtime, and discipline. Working knowledge of the permits, licenses, insurance, and compliance obligations that apply to an industrial facility. ERP proficiency with strong reporting discipline and attention to data accuracy; comfortable working with operational KPIs. Strong leadership, organizational, and problem-solving skills, with the judgment to set priorities and hold teams accountable in a fast-paced operation. Ability to stay calm in emergencies and coordinate an effective response. Commitment to workplace safety, environmental compliance, and continuous improvement. Responsibilities Run the day-to-day administrative tasks; assist in the overall management and internal coordination of the facility departments. Coordinate the effective and collaborative functioning of the various departments grouped under the HR, administrative, procurement, production, maintenance, and quality functions. Act as the initial escalation point for operational, administrative, and employee matters below Managing Director level. Prepare and track facility budgets, operating expenses, recurring payments, equipment rentals, and local contracts — and challenge costs that are not justified.
Manage facility-level HR processes:
recruitment and interviews for operational roles, leave planning, overtime, performance management, and discipline. Organize and chair regular facility management meetings; assign actions and follow them through to completion. Keep permits, licenses, insurance policies, and legal registrations current, and represent the facility with local authorities, auditors, suppliers, and service providers. Ensure company policies and facility rules are communicated and consistently applied, and promote a strong safety culture with proper incident investigation and corrective action. Coordinate maintenance and investment activities, and support the review of investment proposals with the technical team and senior management. Maintain ERP discipline across all departments; monitor facility performance through ERP reports, dashboards, and KPIs, and report to the Managing Director. Set objectives for direct reports, monitor workload and performance, hold regular one-to-ones, and support development. Improve administrative and operational processes, and monitor environmental compliance including permits, dust control, and energy and water consumption. Coordinate emergency response and business continuity, working with the Production Team to keep the facility operating safely on a 24/7/365 basis.
