Overview:
The Administrative Coordinator is a part-time position supporting the day-to-day operational and communications needs of the Fairbanks Wellness Coalition. The Administrative Coordinator works closely with the FWC staff and volunteers, and supports the broader coalition by maintaining The Community Center, assisting with internal and external communications, assisting with bookkeeping, maintaining organizational records, and ensuring that meetings, events, and outreach efforts are well-coordinated and professionally represented.
Ideal Candidate:
The ideal candidate for this role is detail-oriented, dependable, and takes pride in keeping things organized and running on time. They are a strong writer who can communicate effectively across formats, and who understands that clear, consistent communication is central to FWC's mission and public presence. This person is comfortable working independently with minimal supervision, proactive about anticipating needs before they become problems, and skilled at managing multiple tasks and deadlines without losing accuracy or quality. A familiarity with or interest in community wellness, public health, or nonprofit work is a plus, as is a collaborative spirit and the ability to represent FWC professionally in all communications.
Responsibilities:
Represent the Fairbanks Wellness Coalition and uphold Coalition identified values at community events, activities, and projects. Interact with volunteers, staff members, and the community in a manner that is respectful and empowering. Consistent and dependable attendance. Maintain professional boundaries. Attend all mandatory staff meetings, program meetings, and trainings required. Present a professional demeanor to the community through appearance, communication, and presentation.
Essential Functions:
Provides day-to-day support to FWC program activities in alignment with the FWC Mission, Vision, and strategic plan. Maintain, streamline, and in some cases develop administrative systems and processes Coordinate the events calendar for The Community Center, and assist with facility maintenance, cleaning, and caretaking Schedule meetings, create agendas, compile documents, take detailed notes, and write meeting minutes for all FWC workgroups and the Steering Committee Perform basic bookkeeping tasks, like reconciling bank statements Manage the main FWC email address and forward messages when required Assist with digital communications, including social media and the newsletter Assist with event logistics, including communicating with vendors Collect and record data, and assist with preparation of relevant reports Assist with promotional materials, flyers, brochures, and other printed/digital media. Perform related work as assigned consistent with current duties and responsibilities. Minimum Qualifications Excellent interpersonal, group, and written communication skills. Strong organizational and project management skills, with the ability to manage multiple priorities and meet deadlines in a dynamic environment. Advanced proficiency in Google G Suite; Microsoft Office Suite, particularly PowerPoint and Excel; as well as Zoom Ability to work independently and exercise strong initiative, while also collaborating effectively across teams. Ability to pass a background check. Preferred Qualifications At least 2 years of office administration experience, with some bookkeeping experience Experience and ability to facilitate meetings. Proficiency in web design and developing marketing materials, as well as proficiency in all social media platforms.
Supervision:
FWC Director and United Way Tanana Valley Executive Director Work Environment:
In office, with potential for hybrid/remote work after a trial period. Applicants must have reliable transportation and the ability to lift 25lbs.
Hours:
20 hours per week
Wage:
$21-23/hr
DOE Benefits:
Ability to accrue up to 35 hours of personal leave per year
Employment Conditions:
This position is employed by United Way of the Tanana Valley and assigned to support the Fairbanks Wellness Coalition. Employment is at will and subject to all applicable United Way of the Tanana Valley personnel policies, employee handbook provisions, compensation and benefit programs, and other human resources policies and procedures. Pay:
