The primary purpose of this position is to support the owner by taking ownership of assigned administrative and operational tasks, managing student and client processes, and reducing the amount of routine work that requires the owner's direct involvement. This role requires excellent judgment, professional communication, strong follow-through, confidentiality, and the ability to manage a wide range of tasks accurately. The right person will begin by completing clearly assigned work and, over time, will be expected to recognize recurring needs, take initiative, and work independently with minimal supervision. About the Role This is a hands-on administrative support position with varied responsibilities. Tasks may change from day to day based on business needs. The successful candidate must be comfortable learning how the business operates, following established procedures, identifying missing steps, and creating clear written processes that can be repeated by others. This position is best suited for someone who is highly organized, dependable, practical, and comfortable supporting a small-business owner directly. Primary Responsibilities Owner and Executive Support Complete administrative and operational tasks assigned by the owner Help the owner manage priorities, time, and follow-up items Assist with calendar management and scheduling Help organize projects, deadlines, and recurring responsibilities Assist with practical use of AI tools for administrative and business tasks Schedule candidate interviews and assist with updates to internal policies and procedures Handle sensitive company, employee, client, and financial information with discretion Student Registration and Course Administration Manage the full administrative process for public class registrations, including: Receive and review website registrations Enter and track student information accurately Confirm that required registration details are complete Send course materials, instructions, reminders, and related communications Maintain student registration records and class tracking documents Create accurate student rosters for instructors Process student certifications after course completion Send post-course thank-you messages Send review requests and other follow-up communications Similar administrative support will be provided for business-to-business clients, including class rosters, client communications, training records, certifications, and follow-up. Accounts Receivable, Accounts Payable, and Expense Tracking Create and send client invoices Track outstanding balances and payments Follow up professionally on overdue invoices Assist with accounts payable tracking Maintain accurate records of business expenses Organize receipts, invoices, and financial documentation Help keep financial records current and easy to review Instructor and Class Support Post classes and work assignments in Connecteam Notify instructors of upcoming assignments Help coordinate instructor availability and class information Prepare administrative materials for classes Coordinate training supplies Communicate changes, reminders, and class details to instructors Inbox and Client Communication Help manage the company email inbox Respond to routine student and client questions using approved information and templates Route messages requiring owner review Track open items and follow up until they are resolved Maintain a professional, responsive, and helpful communication style Process and Procedure Documentation Learn assigned tasks by reviewing instructions, examples, and existing practices Identify the steps needed to complete each task accurately Create written procedures, checklists, and templates Update procedures when systems or responsibilities change Organize process documents so they are clear and easy for another person to follow Help reduce reliance on verbal instructions and owner memory Systems and Technology The company uses Microsoft Office, Google Workspace, Zoho CRM, webmail, Connecteam, website-registration systems, online certification systems, and other web-based tools. Required Qualifications Five or more years of administrative support experience Strong attention to detail and a consistent record of accurate work Excellent judgment and problem-solving ability Strong organizational and time-management skills Professional written and verbal communication Ability to manage changing priorities and a wide range of tasks Ability to work independently after training Strong follow through Experience creating written procedures, checklists, or process documentation Strong working knowledge of Microsoft Office Comfort learning new online systems Ability to handle confidential information appropriately Consistent weekly availability Preferred Qualifications Experience with Google Workspace Experience with Zoho CRM or another customer relationship management system Experience with basic invoicing, accounts receivable, or expense tracking Experience supporting a small-business owner or senior leader Familiarity with AI tools used for administrative or business work Experience with Connecteam or another staff scheduling system Schedule and Work Arrangement W-2, non-exempt, part-time position Expected to start at approximately 12 hours per week Hours may increase up to approximately 24 hours per week based on performance, reliability, and business needs Minimum work period of 4 days a week A regular and consistent weekly schedule is required The position will begin with approximately two-three days per week in the Carmichael office After training and successful performance, the position may shift to a more hybrid schedule with approximately one to two office days per week and remote work for the remaining scheduled hours Some scheduling flexibility is available, but dependable availability is required No regular evening or weekend work is expected Compensation and Benefits $20-$25 per hour, based on experience and qualifications Paid sick time 401(k) eligibility with company match after the applicable waiting period What Success Looks Like A successful
