You must have at least 3 years of professional administrative experience working inside a construction company office to be considered. This is not a general administrative position and we are not able to train someone on construction operations from scratch. Residential construction experience is strongly preferred. If your administrative background is primarily in property management, healthcare, retail, insurance, restoration, hospitality, or another non-construction environment, this role will not be the right fit. About the Company We are a boutique, high-end residential design-build company based in Los Altos, specializing in custom homes, major renovations, additions, and ADUs throughout the Peninsula. We are a small, close-knit team with an excellent culture. You'll work directly with company leadership and play an important role in keeping both the office and active construction projects organized and moving forward. The Role We're looking for an experienced Construction Administrative & Project Coordinator who understands how a construction office operates and can step into a fast-moving environment without needing to learn the industry from the ground up. You'll be the go-to person supporting the office, project team, clients, subcontractors, and vendors.
Responsibilities include:
Manage day-to-day construction office operations and administrative workflow Support active residential construction projects from setup through completion Coordinate schedules, meetings, inspections, vendors, and subcontractors Maintain project files, contracts, permits, change orders, and other construction documentation Communicate professionally with homeowners, vendors, subcontractors, and project teams Assist with permitting and inspection coordination Support invoicing, purchase orders, bookkeeping, and project-related financial documentation Track deadlines and follow up to ensure nothing falls through the cracks Assist company leadership and Project Managers with changing day-to-day priorities Help identify and solve problems before they become bigger issues What You Must Bring Minimum 3 years of administrative experience working inside a construction company office —
REQUIRED
Strong understanding of construction-office workflow and terminology Experience supporting Project Managers, Superintendents, subcontractors, vendors, or field teams Excellent organization and attention to detail Strong written and verbal communication skills Professional, polished, and comfortable communicating directly with clients Ability to prioritize multiple projects and changing deadlines Resourceful and comfortable figuring things out independently Reliable, dependable, and willing to take ownership Comfortable working in a small company where everyone wears multiple hats Proficiency with Microsoft Office and/or
Google Workspace Preferred:
Residential construction experience Experience with permits and inspections Construction CRM/project management software such as Procore, Buildertrend, QuickBase, or similar QuickBooks experience Experience with high-end residential clients What We Offer $72,000-$96,000 per year , depending on experience Performance-based bonus opportunities Proactive salary increases based on performance $500/month healthcare reimbursement Excellent, collaborative company culture Direct access to company leadership Opportunity to take on increasing responsibility as the company grows Long-term career and growth potential Stable Monday-Friday, 8:00 AM-5:00 PM schedule Work Schedule Monday-Friday, 8:00 AM-5:00 PM This position is fully on-site in Los Altos, CA.
