Full-Time SGS Holdings Group is Hospitality and Real Estate Company formed by Taylor Sheridan, David Glasser and Dan Schryer. SGS is seeking a highly organized, detail-oriented Bookkeeper & Administrative Coordinator to support a diverse portfolio of businesses and investments across hospitality, real estate, and entertainment. This is a bookkeeping-first role that will work closely with SGS's current external bookkeeping and accounting partner. This person will serve as the primary internal point of coordination, ensuring that banking activity, invoices, payments, transactions, supporting documentation, and accounting records are communicated and recorded accurately across multiple entities. The ideal candidate will understand the full bookkeeping cycle and be capable of reviewing the books for completeness and accuracy. In addition, this person will strengthen SGS's internal financial capabilities by building budgets, financial models, cash-flow projections, forecasts, and management reports. This role requires someone who can work collaboratively with an external accounting team while taking ownership of SGS's internal financial organization, reporting, follow-up, and analysis. The position also includes administrative and organizational responsibilities. Experience using AI and automation tools to improve reporting, organization, and efficiency is a significant advantage. Key ResponsibilitiesBookkeeping and Accounting Coordination Work closely with SGS's external bookkeeping and accounting partner to maintain complete and accurate books across multiple entities Serve as the primary internal liaison between SGS management and the external bookkeeping team Coordinate the timely delivery of invoices, receipts, contracts, payment approvals, banking information, and supporting documentation Review financial transactions and accounting records for accuracy, completeness, and proper classification Assist with accounts payable and accounts receivable tracking Monitor outstanding invoices, payments, reimbursements, deposits, and collections Support bank and credit-card reconciliations by researching transactions and resolving discrepancies Track transfers, capital contributions, distributions, reimbursements, and intercompany activity Maintain organized vendor records, W-9s, invoices, payment confirmations, and financial documentation Review general-ledger activity and flag errors, duplicate charges, missing entries, or unusual transactions Assist with payroll coordination and maintain supporting payroll records Support monthly and year-end closing processes Prepare records and supporting schedules for accountants, tax professionals, financial consultants, and other outside partners Maintain organized, current, and audit-ready financial records across all SGS entities Financial Analysis, Modeling, and Reporting Prepare and maintain recurring internal financial reports Review profit-and-loss statements, balance sheets, and cash-flow reports for accuracy and completeness Build and maintain Excel-based financial models, schedules, dashboards, and reporting tools Develop annual budgets and periodic reforecasts across multiple entities Prepare cash-flow projections and monitor near-term funding requirements Track actual performance against budgets, forecasts, and operating targets Research and explain material financial variances Consolidate financial information across multiple businesses, properties, and legal entities Translate accounting information into clear and concise management reporting Develop reporting that gives ownership greater visibility into financial position, performance, and cash needs Assist ownership and management with ad hoc financial analysis and decision-making Improve the timeliness, clarity, and consistency of SGS's financial reporting Administrative and Operational Support Coordinate financial meetings, deadlines, action items, and follow-up Organize financial, legal, operational, and corporate documents Assist with reports, presentations, correspondence, and special projects Maintain trackers for payments, contracts, renewals, reporting deadlines, and outstanding information Coordinate schedules, meetings, and document requests Communicate with vendors, lenders, accountants, attorneys, internal team members, and outside partners Anticipate deadlines and ensure important items are completed on time Handle sensitive financial and business information with discretion Help establish and document stronger internal processes and financial controls AI, Technology, and Process Improvement Use AI and automation tools to improve financial reporting, analysis, document organization, and administrative workflows Identify opportunities to streamline repetitive bookkeeping, reconciliation, and reporting tasks Create standardized templates, dashboards, trackers, and repeatable processes Learn and implement new financial and operational technology Maintain accuracy, confidentiality, and appropriate human review when using AI-generated work Qualifications At least three years of bookkeeping, accounting-support, or financial-administration experience Strong understanding of the full bookkeeping cycle Experience reviewing books and financial records for completeness and accuracy Knowledge of accounts payable, accounts receivable, bank and credit-card reconciliations, expense management, and general-ledger fundamentals Experience with QuickBooks or a comparable accounting platform Advanced proficiency in Microsoft Excel, including formulas, pivot tables, lookups, data organization, and financial analysis Experience building financial models, budgets, forecasts, and cash-flow projections Ability to prepare, review, and interpret financial statements and management reports Strong attention to detail and commitment to accuracy Excellent organizational, communication, and follow-through skills Ability to coordinate effectively with an external bookkeeping or accounting firm Ability to manage multiple entities, deadlines, and competing priorities Sound judgment and discretion when handling confidential information Preferred Qualifications Experience supporting multiple companies, properties, or legal entities Experience in hospitality, real estate, investment management, entertainment, or a family-office environment Familiarity with payroll, intercompany accounting, and month-end close processes Experience working with outside accountants, bookkeepers, tax professionals, and financial consultants Experience with Google Workspace and cloud-based document-management systems Experience using ChatGPT, Claude, Microsoft Copilot, or other AI and automation tools Administrative or executive-support experience What Success Looks Like The right candidate will become SGS's trusted internal financial coordinator and work side by side with its external bookkeeping and accounting partner. Together, they will maintain accurate books, complete timely reconciliations, resolve discrepancies, and ensure that management receives clear and reliable financial information. Internally, this person will provide the additional budgeting, forecasting, modeling, analysis, and follow-through needed to give ownership greater visibility into each entity's financial position and performance.
