Job Description

We're looking for a confident, organized Dental Insurance Coordinator who is ready to help create a smooth, supportive experience for both patients and the dental team. This is a unique opportunity to join a long-standing, patient-focused practice in the heart of Shorewood. You'll work alongside an established doctor as we bring greater structure, energy, and consistency to the practice while preparing it for a successful future transition. We have proudly cared for generations of patients and are committed to providing high-quality dentistry in a friendly environment. Our doctor is fun, engaging, and known for occasionally breaking into song. We're looking for someone who can complement that energy with strong organization, attention to detail, follow-through, and confident communication. The Opportunity This is more than processing claims. You'll be a key partner in helping patients understand their benefits and financial responsibilities while keeping insurance systems accurate, organized, and moving forward. The ideal candidate takes initiative, enjoys solving problems, and is comfortable following up until issues are resolved. Previous dental assisting experience - licensed or unlicensed - would be especially valuable, as it provides a strong understanding of dental procedures, treatment plans, and clinical workflow. If you are a LDA or an unlicensed assistant, more hours are available if you would like a hybrid position. Schedule Monday-Thursday 8:00 AM-3:00 PM Flexibility available Key Responsibilities Verify patient eligibility, insurance coverage, limitations, frequencies, and remaining benefits. Clearly explain coverage estimates and expected out-of-pocket expenses to patients. Submit accurate insurance claims with the necessary documentation, narratives, and attachments. Monitor outstanding claims and follow up promptly on delays, denials, and discrepancies. Review insurance payments and explanations of benefits for accuracy. Assist with claim appeals and corrections when appropriate. Maintain accurate patient insurance and account information. Communicate professionally with patients, insurance companies, and team members. Coordinate with the clinical team to understand treatment plans, procedures, and supporting documentation. Help answer phones, schedule appointments, and support the front desk as needed. Protect patient confidentiality and follow applicable privacy requirements. Help strengthen office systems and prepare the practice for its next chapter. Qualifications Previous dental insurance, billing, or dental office experience preferred. Knowledge of dental terminology, procedures, insurance plans, and claim processes. Dental assisting experience - licensed or unlicensed - is strongly preferred but not required. Experience with SoftDent is a plus. Strong organizational skills and close attention to detail. Ability to prioritize responsibilities and consistently follow through. Ability to explain insurance and financial information clearly. Comfortable contacting insurance companies and advocating for timely claim resolution. Able to take initiative and solve problems independently. Positive attitude, team-focused approach, and a sense of humor.
