FT SHINE Enrollment Specialist

Job Description

Serves as the primary enrollment contact for the SHINE Program and provides timely and professional assistance to families, schools, staff, and other program stakeholders regarding enrollment related matters; monitors, maintains, and updated SHINE Program enrollment system and related databases, records, documents, and files to ensure accurate and current enrollment information; collaborates with SHINE staff and participating schools to maintain accurate and current enrollment numbers and ensure enrolment information for individual SHINE centers is complete and current; communicates with families regarding enrollment requirements, program information, and student transportation needs; coordinates student transportation schedules in collaboration with families, SHINE staff, schools, and transportation needs; communicates regularly with busing companies to establish, verify, and update student transportation schedules and ensure transportation information remains accurate on a weekly basis; reviews and follows up on weekly enrollment lists provided to school contacts to identify and resolve discrepancies or missing information; serves as the primary administrative contact for the SHINE Program's external evaluators and coordinates the collection, organization, and submission of required program data; coordinates the distribution, collection, and tracking of required teacher evaluations and related program documentation including annual spring evaluation process; maintains organized and accurate records related to enrollment, transportation, program evaluation, data collection, and other SHINE Program activities; attend and provide administrative support for SHINE staff meetings, Advisory Board meetings, and other program meetings as assigned; maintains and manages the fundraising database for the annual
SHINE STEAM
Olympiad including maintaining donor contact information, communicating with potential donors, soliciting donations, tracking contributions, coordinating donation pickups, and maintaining accurate records; assists with the preparation of correspondence, reports, spreadsheets, presentations, and other documents necessary for the effective administration of the SHINE Program; provide general clerical and administrative support as needed; provides coverage and administrative assistance at SHINE Afterschool sites as needed to support program operations and ensure appropriate site coverage. Education:
Associate's Degree in Business Administration, Education, Human Services, Public Administration, Office Administration, or related field required. Bachelor's Degree preferred.
Experience:
Minimum one (1) year of experience in program administration, educational administration, an educational setting, enrollment services, database management, or a related business environment; experience working with schools, families, students, or community-based programs preferred.
Skills:
Excellent oral and written communication skills and demonstrated interpersonal skills necessary to deal effectively with staff, students, and public; strong organizational skills and attention to detail with the ability to manage multiple responsibilities, meet deadlines, and work independently or collaboratively with the team; capable of making sound decisions; ability to handle confidential information with discretion and to work well under pressure; proficient in Microsoft Office Suites; experience with database management and data entry; ability to establish and maintain effective working relationships with internal and external stakeholders; commitment to fostering an inclusive campus environmental and respect for individuals with diverse backgrounds, abilities, and needs.
