Executive & Operations Assistant Position Overview Weichert, REALTORS® - The Griffin Company is seeking a highly organized, proactive and forward-thinking Executive & Operations Assistant to work directly with company-level leadership. This role is designed for someone who can help manage priorities, organize information, coordinate projects, improve systems and keep important initiatives moving forward. The person in this position will work closely with leadership across marketing, growth, training, technology, recruiting, company leads and business operations. This is not a traditional receptionist or basic administrative role. It is a fast-paced support position for someone who can think ahead, solve problems, manage multiple responsibilities and provide dependable follow-through at a high level. The ideal candidate will be comfortable working closely with leadership, handling sensitive information, shifting between projects and helping bring structure to a constantly evolving workload. Work Environment This is a full-time, primarily in-office position. The role is intended for someone who values being present, collaborating directly with leadership and becoming an active part of the company. Occasional flexibility may be available when needed, but the employee should expect to work primarily from the office during regular business hours. We are looking for someone who genuinely wants to come to work, contribute at a high level and grow into a long-term career centered around real estate, leadership support, technology, training and business systems. Primary Responsibilities Executive Support
  • Work directly with company-level leadership to organize priorities, projects, meetings and follow-up items.
  • Help manage calendars, schedules, deadlines and upcoming commitments.
  • Prepare meeting agendas, presentations, reports, notes and supporting materials.
  • Track decisions, action items and responsibilities following meetings.
  • Draft professional emails, announcements, instructions and internal communications.
  • Gather information from managers, agents, staff and vendors as needed.
  • Help leadership stay prepared, organized and focused on high-priority responsibilities.
  • Anticipate upcoming needs and address details before they become urgent.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Serve as a dependable point of coordination between leadership and other departments. Company Operations
  • Support company-wide initiatives involving multiple offices, departments and team members.
  • Coordinate timelines, responsibilities and communication for special projects.
  • Maintain organized systems for documents, processes, files and recurring responsibilities.
  • Help create and improve checklists, procedures, workflows and internal resources.
  • Monitor deadlines and follow up on incomplete tasks or missing information.
  • Assist with company events, meetings, training sessions and leadership initiatives.
  • Coordinate with vendors, office staff, managers and outside partners.
  • Help identify operational problems and recommend practical solutions.
  • Ensure important projects continue moving forward even when priorities shift. Training and Development Support
  • Assist with new-agent onboarding and company training programs.
  • Organize training schedules, registrations, attendance and materials.
  • Prepare presentations, handouts, forms and digital resources.
  • Maintain training platforms and upload updated materials.
  • Communicate reminders, deadlines and program expectations.
  • Support leadership with recurring training initiatives, workshops and professional-development programs.
  • Help organize feedback, participation data and follow-up steps.
  • Assist with improving the consistency and organization of company training systems. Technology, AI and Systems Support
  • Use artificial intelligence tools to improve efficiency, communication, organization and project execution.
  • Assist leadership in testing and implementing new technology.
  • Help maintain project-management systems, CRM platforms, training tools and shared company resources.
  • Create repeatable workflows using available software and automation tools.
  • Research tools or solutions that may improve company processes.
  • Troubleshoot basic system issues and help document solutions.
  • Learn new platforms quickly and assist other team members when appropriate.
  • Help ensure technology is being used consistently and effectively across company initiatives. Project Coordination
  • Manage multiple active projects at once with strong attention to detail.
  • Create project timelines, checklists and status updates.
  • Track progress and identify potential delays.
  • Follow up with the appropriate people to ensure tasks are completed.
  • Organize information from multiple sources into clear, usable formats.
  • Help leadership move projects from idea to execution.
  • Adjust quickly when timelines, priorities or project details change.
  • Take ownership of assigned responsibilities and provide reliable completion. Communication and Team Coordination
  • Communicate professionally with agents, staff, managers, vendors and leadership.
  • Help distribute important company information clearly and accurately.
  • Coordinate information between departments and office locations.
  • Follow up on questions, requests and outstanding items.
  • Ensure leadership has the information needed to make decisions.
  • Represent company leadership professionally in written and verbal communication.
  • Help maintain a positive, organized and solution-oriented work environment.
Marketing and Creative Support Marketing will be a supporting part of this role rather than the primary focus.
Responsibilities may include:
  • Creating or editing simple materials in Canva.
  • Assisting with presentations, internal graphics and company resources.
  • Maintaining clean, professional and consistent formatting.
  • Supporting company events, recruiting initiatives and training materials.
  • Helping organize marketing-related requests when they connect to larger leadership priorities.
  • Working with the marketing team to gather information or coordinate deadlines. What We Are Looking For The ideal candidate is:

Pay:
$45,000.00 - $47,000.00 per year
