Role Description The Executive Assistant is a full-time, on-site role based in Winter Park, FL, providing comprehensive administrative support to the President & CEO, with secondary assitance to the staff and Board of Directors. This role manages calendars, schedules meetings, coordinates travel, and prepares expense reports to ensure smooth daily operations. The Executive Assistant drafts and edits correspondence, organizes documents, maintains records, and supports board and committee activities through meeting preparation, materials distribution, and follow-up. Day-to-day responsibilities also include managing phone and email communications, greeting visitors, coordinating events and logistics, and collaborating with internal and external stakeholders. The role requires maintaining confidentiality, prioritizing tasks effectively, and representing the Foundation with professionalism and courtesy. Qualifications Candidates should possess five plus years of Executive Assistant skills, including calendar management, meeting coordination, and office organization. Candidates should possess solid Executive Support skills, including preparing presentations, handling confidential information, and supporting CEO's, senior leadership and board members. Candidates should possess experience managing Expense Reports and basic financial or budgeting tasks with accuracy and attention to detail. Candidates should possess excellent Communication skills, including clear written and verbal communication, professional correspondence, and effective stakeholder interaction. Relevant qualifications include proficiency with office software (e.g., Microsoft Office or similar tools), strong time management and prioritization abilities, and a high level of discretion and integrity. Experience in a professional office, nonprofit or philanthropic organizations and an associate or bachelor's degree in business, communications, or a related field is beneficial.
