Competitive salary based on experience Visual Health and Surgical Center is seeking an experienced Executive Assistant to provide high-level administrative and operational support to the Chief Executive Officer. The ideal candidate will demonstrate exceptional organizational skills, technical proficiency, and a proactive approach to managing multiple priorities, maintaining strict confidentiality, and thriving in a dynamic healthcare environment. A successful candidate will play a critical role in supporting executive leadership while assisting with administrative, operational, and financial functions across the practice. Healthcare experience is required. Candidates must have previous experience working in a medical practice, surgical center, or other healthcare setting. Key Responsibilities Executive Support Provide direct administrative support to the CEO. Manage calendars, meetings, appointments, and scheduling priorities. Prepare, edit, and format professional correspondence, reports, presentations, and other business documents. Draft communications for physicians, referring providers, patients, insurance carriers, and business partners. Coordinate meetings and maintain accurate records of action items and follow-up activities. Handle confidential and sensitive information with professionalism and discretion. Administrative & Operational Support Monitor daily patient volumes and provider schedules. Open, prioritize, and distribute incoming mail and correspondence. Assist with special projects, operational initiatives, and process improvement efforts. Support practice operations through the use of Modernizing Medicine (ModMed), RingCentral and other operating systems. Perform general administrative duties necessary to support daily operations. Coordinate occasional staff lunches, meetings, and office functions. Run occasional local business errands, including bank deposits and other practice-related tasks. Support office management duties including overseeing filing systems, data entry, managing multi-line phone systems, and maintaining office supplies inventory. Financial Administration Assist with bookkeeping and financial recordkeeping using QuickBooks. Support the CEO and accountant with financial documentation and reporting. Technology & Process Improvement Utilize Microsoft Office Suite, Adobe Acrobat, and other business software to create and maintain professional documentation. Leverage AI and emerging technology tools to improve efficiency, productivity, and workflow management. Quickly learn new systems, processes, and technologies to support organizational growth. Qualifications Required Qualifications Minimum of 3 years of experience in an Executive Assistant or similar role within a healthcare environment. Previous experience working in a medical practice, ambulatory surgery center, or healthcare organization. Demonstrated experience with QuickBooks and financial recordkeeping. Experience using electronic health record (EHR) systems Advanced proficiency with Microsoft Office Suite, Outlook, and Adobe Acrobat Excellent written and verbal communication skills. Exceptional organizational skills and attention to detail —with professional phone etiquette. Ability to prioritize competing demands and adapt to changing priorities. High level of integrity, professionalism, and confidentiality. Preferred Qualifications Experience supporting senior executives, practice administrators, or business owners. Knowledge of physician practice operations and healthcare administration. Familiarity with AI productivity tools and technology-driven workflows.
