JOB SUMMARY
The Executive Assistant provides administrative support to Core Team Members and other employees as assigned by managing a variety of organizational tasks. Ensures administrative tasks are efficiently and effectively implemented. Must have strong interpersonal skills and the ability to prioritize a diverse workload.
EDUCATION & WORK EXPERIENCE A
high school diploma or equivalent is required One year of administrative experience preferred Must have the ability to analyze data Experience in serving a wide range of socio-economic backgrounds preferred Excellent written and verbal communication skills Commissioned Notary Public or the ability to become commissioned
DUTIES AND RESPONSIBILITIES
Represents the Core Team members and employees assigned to them by welcoming visitors, reviewing correspondence, arranging company dinners and other company functions, answering questions and meeting requests directed to the Core Team members and employees assigned to them. Participates in key meetings and calls with the Core Team members and employees assigned to them and other key executives and keeps and organizes confidential documentation of these meetings. Greets the public in person and on the phone in a polite and professional manner, providing general information, answering questions, and directing people to appropriate staff. Processes and distributes confidential and sensitive information. Maintains privacy in all aspects of the job. Operates a variety of office equipment including, but not limited to, personal computers, copy/fax, and calculators. Answers phone as required, receives messages, and returns messages as appropriate. Handles and sorts mail. Orders and replenishes supplies as needed. Organizes files and prepares documents. Coordinates meetings and conferences. Maintains OSHA logs. Performs job in compliance with agency policies and procedures as well as community and professional standards.
