The Executive Assistant provides high-level, confidential administrative, scheduling, and logistical support to the President and serves as a key operational partner to the President's Office. This role requires exceptional judgment, discretion, and organizational agility to manage the President's time, priorities, and communications in a complex, highly visible environment. The Executive Assistant proactively anticipates needs and resolves competing demands independently, coordinates a dynamic and high-volume calendar, plans and executes complex travel, prepares and synthesizes advanced materials for meetings and events, and provides comprehensive administrative support including correspondence management, expense reporting, recordkeeping, and office operations. Working with a strong service orientation and a deep understanding of institutional protocols, best practices, norms, and culture, the Executive Assistant interfaces regularly, and often independently represents the President's Office, with senior leaders, trustees, faculty, staff, students, alumni, donors, external partners, and the public. The incumbent must consistently demonstrate professionalism, sound judgment and the ability to anticipate needs, navigate ambiguous or non-precedented situations, protect confidentiality, and meet firm deadlines while balancing competing demands. The incumbent must be able to work independently and exercise significant autonomy, as well as function as a highly collaborative member of the President's Office team. The role also requires close collaboration with campus partners-including, as needed, departments such as Development and Alumni Relations-on travel logistics, scheduling, event coordination, and other President-facing priorities. The hiring range for this position is expected to be: $82,000 - $102,000.

Expertise in planning multi-stop travel and itineraries, coordinating across internal partners and external contacts, and managing changes in real time.
Ability to track multiple deadlines and deliverables, anticipate needs, and execute accurately in a fast-moving environment.
Relationship management and customer service:
Strong interpersonal skills to serve as a point of contact for diverse constituents while maintaining appropriate boundaries and responsiveness. Experience Requirements and/or

Required:
A minimum of 4-7 years of progressively responsible experience in a similar role. Demonstrated experience managing complex calendaring and travel logistics for an executive with competing priorities and high-visibility stakeholders. Demonstrated experience drafting, editing, and coordinating professional correspondence and meeting materials, with a strong attention to detail and confidentiality. Must have considerable proficiency in Microsoft Office suite including Word, Excel, and PowerPoint, Outlook, and various virtual meeting platforms. Preferred Experience in a higher education or similarly complex, mission-driven environment with multiple constituent groups. Experience coordinating events and working cross-functionally with advancement/DAR, academic leadership, and external partners. Experience supporting a President's Office and/or Board of Trustees. Standard Work Days and Hours:
Administrative hours are Monday through Friday, 8:00 am to 5:00 pm. This is a full-time position working 40 hours/52 weeks, (1.00 FTE). This position requires the ability to work flexible hours, including some evenings, as requested by the President, particularly to support travel and participation in events and convenings. This is an on-site role, and candidates must be able to work in person on Bowdoin College Campus in Brunswick, Maine.
