Executive Assistant — Director of Children's Services Kennebunk, ME | On-site, Mon-Fri, 8:30-4:00 The Director hands off the work. You make sure it comes back. Back to Basics Behavioral Health Services delivers Section 28 rehabilitative community services across Maine — one-on-one, in-home support that helps children with developmental delays build social skills, functional behavior, and independence in daily living. Behind every one of those visits is a system that has to hold. That's where you come in. Our Director of Children's Services assigns Most Important Tasks directly to Program Managers. Your job is everything that happens next: logging what went out, tracking where it stands, chasing the updates, and keeping a clean record of every exchange along the way. When the Director asks "where are we on this," the answer is already in front of them — current, accurate, and sourced. What the job actually looks like Maintain the master record of delegated tasks: who owns it, what's due, what's changed Track and document correspondence between the Director and Program Managers so nothing lives only in someone's inbox Pull status updates from managers on a set cadence and flag anything slipping before it's late Keep Asana (or equivalent) current — the system should reflect reality without the Director touching it Build the trackers, summaries, and reports that make progress visible at a glance Protect the Director's calendar, inbox, and attention like it's the scarcest resource in the building (it is) Handle whatever the week throws at you, because no two weeks match What you bring Fluency in Excel, Word, Outlook, and Adobe — plus Asana or a comparable workflow platform HIPAA proficiency and instinctive discretion with protected health information A commuting distance from Kennebunk that works five days a week Comfort with a working lunch (paid) and a pace that doesn't idle The persistence to ask a manager for an update three times without it getting weird Flexibility — the job description is a starting point, not a fence What you won't find here Ambiguity about whether your work matters.
