Job Summary:
The Executive Administrative Assistant provides high-level administrative and operational support to the CEO of The North Group. This role serves as a critical liaison between the CEO, leadership team, clients, and external partners, ensuring seamless communication and execution of priorities. This role is highly adaptable, professional, and thrives in a fast-paced, dynamic environment. This Executive Administrative Assistant acts as the organizational backbone of the leadership team managing schedules, tracking key initiatives, and ensuring accountability across multiple stakeholders while handling sensitive and confidential information with discretion.
Essential Functions:
Manage the CEO's complex calendar, including scheduling meetings, prioritizing commitments, and resolving conflicts
Coordinate and prepare for meetings by developing agendas, taking detailed notes, and tracking action items to completion
Serve as a liaison between the CEO, leadership team, clients, and external partners with professionalism and discretion
Drive follow-up on open tasks and initiatives across the leadership team to ensure timely execution
Organize and maintain confidential files, communications, and records
Book and manage travel arrangements, including flights, accommodations, and itineraries
Process expense reports and maintain accurate financial documentation on behalf of the CEO
Maintains internal CRM and Cloud Storage and any other company accounts by verifying, allocating, and posting data or maintain changes.
Assist in planning and coordinating trade shows, conferences, and company events
Order and maintain office supplies and support general office operations
Anticipate the needs of the CEO and proactively address administrative and operational challenges
Support internal communication flow and ensure alignment across leadership priorities
Other duties as assigned
Supervisory Responsibilities:
This position does not have direct supervisory responsibility; however, this position does require the responsibility of coordination across the executive team and broader organization. The Executive Administrative Assistant acts as a central point of accountability, helping guide workflows, communication, and follow-through.
Minimum Qualifications:
Strong organizational and time management skills with the ability to manage multiple priorities simultaneously
Demonstrated ability to adapt quickly and pivot in a fast-paced, evolving environment
Strong problem-solving skills and a proactive mindset
Strong interpersonal skills with the ability to navigate varying communication styles and team dynamics
High level of professionalism and interpersonal skills
Proven ability to handle confidential and sensitive information with discretion
Strong written and verbal communication skills
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and scheduling tools Education & Experience
Associate's or Bachelor's degree in Business Administration, Communications, or a related field preferred; equivalent combinations of education and experience will be considered.
3-5 years of relevant experience supporting executives or leadership teams, preferably at the C-Suite level.
Prior customer service experience with strong professional communication skills
Background Prerequisites:
Must undergo and meet company standards for background check, employment verification, reference checks, physical, and controlled substance testing.
Preferred Qualifications:
Experience in a professional services or corporate environment preferred
Familiarity with project management tools and task tracking systems
