Atrium is seeking on behalf of our client an Executive Assistant, Legal Department based in Parsippany, NJ . A background check may be run only after a conditional offer is made, where permitted by law .

$100-110k Position Overview The Executive Assistant will provide high-level administrative and organizational support to the Legal Department, ensuring seamless coordination of schedules, communications, and departmental processes. This role requires a proactive, detail-oriented professional who can manage multiple priorities in a fast-paced environment while maintaining confidentiality and professionalism. The position involves close collaboration with attorneys, internal teams, and external partners to support legal and business objectives. Must be legally authorized to work in the United States.
Responsibilities Calendar & Executive Coordination:
Manage complex calendars for Legal team members, including scheduling, rescheduling, and coordinating meetings.
Travel Arrangements:
Organize domestic and international travel, itineraries, and related logistics.
Meeting Preparation:
Prepare meeting materials and ensure all logistical details are addressed in advance.
Conflict Management:
Anticipate scheduling conflicts and proactively identify solutions.
Legal Billing & Finance:
Review legal invoices for accuracy and compliance; act as primary contact for outside counsel billing inquiries.
Budget Coordination:
Work with Finance on budgets, expense reports, and billing activity; maintain organized financial records.
Project Support:
Provide administrative support for legal projects, compliance tracking, and department-wide initiatives.
Communication Management:
Monitor and organize incoming correspondence; ensure timely responses to critical requests.
Cross-Functional Collaboration:
Build strong relationships with internal teams and external partners to facilitate smooth operations. Required Experience/Skills Minimum 5 years of experience providing executive or senior-level administrative support in a fast-paced environment. Strong organizational skills with the ability to manage multiple priorities independently. Proficiency in Google Workspace (Calendar, Sheets, Slides) and ability to learn new systems quickly. Excellent judgment, discretion, and problem-solving skills. Strong interpersonal and communication skills, with a professional demeanor. Preferred Experience/Skills Experience in a legal or corporate environment is helpful but not required. Familiarity with legal billing systems, expense management, and document management tools. Interest in leveraging AI-powered tools to improve workflows and efficiency. Ability to remain composed and solutions-oriented under pressure. Flexible and collaborative approach to supporting team needs. Education Requirements Bachelor's degree or equivalent professional experience preferred.
