Position Summary The Executive Administrative Partner to the CEO is a highly strategic and operational role designed to serve as an extension of the Chief Executive Officer. This individual is responsible for maximizing the CEO's effectiveness by managing priorities, optimizing time, ensuring operational flow, and driving follow-through across key initiatives. This is not a traditional administrative role. The Executive Administrative Partner acts as a force multiplier—enabling decision velocity, maintaining organizational clarity, and ensuring that both business and select personal priorities are executed with precision and discretion. This role will operate primarily as a remote position, with required attendance at some in person meetings at or near our corporate office in Carnegie, PA Key Responsibilities Executive Operations & Time Management Own and optimize the CEO's calendar to maximize strategic output and efficiency Coordinate complex scheduling across internal leadership, board members, regulators, and external partners Manage travel logistics, itineraries, and expense reporting Anticipate needs and proactively manage shifting priorities Manage small errands, including mail pickup and package shipment Communication & Information Flow Draft, review, and manage communications, presentations, and correspondence on behalf of the CEO Triage inbound requests and ensure proper prioritization and follow-up Ensure the CEO is consistently prepared with relevant, timely, and accurate information Meeting & Governance Execution Prepare agendas, briefing materials, and supporting documentation for meetings Capture, synthesize, and distribute actionable meeting notes and follow-ups Maintain governance systems, board materials, and documentation processes Project & Execution Support Drive follow-up across key initiatives to ensure accountability and completion Lead and support special projects on behalf of the CEO Identify and implement process improvements to enhance operational efficiency Confidential & Legal Coordination Handle highly sensitive and confidential information with discretion and professionalism Coordinate with legal counsel and external advisors as needed Assist with contracts, documentation, and compliance-related materials Personal & Lifestyle Management Coordinate select personal scheduling and logistics for the CEO Manage high-priority personal tasks with professionalism and discretion Required Qualifications 5+ years of experience supporting a senior executive or leadership team Strong organizational, prioritization, and time management skills Excellent written and verbal communication abilities High level of discretion, integrity, and trustworthiness Ability to operate independently in a fast-paced, high-accountability environment Strong problem-solving skills and attention to detail Preferred Qualifications Experience in a startup or high-growth environment Exposure to insurance, financial services, or professional services industries Experience supporting C-level executives Familiarity with project management tools and productivity systems, including AI assisted technology Capabilities & Mindset Systems thinker with a focus on efficiency and scalability Execution-oriented with strong follow-through Calm, composed, and effective under pressure High emotional intelligence and sound judgment Technically proficient and adaptable to new tools and systems
