The Executive Assistant at New Vitae Wellness & Recovery plays a critical role in advancing the organization's mission to provide compassionate, high-quality behavioral health and recovery services. This role is responsible for driving organizational strategy, performance improvement, growth initiatives, and cross-functional alignment across clinical, operational, and administrative teams. The Executive Assistant partners closely with executive leadership to translate vision into actionable plans, using data, market insight, and operational analysis to strengthen outcomes for clients, staff, and the organization as a whole.
ESSENTIAL DUTIES AND RESPONSIBILITES
Strategic Planning & Execution Partner with executive leadership to develop and execute short- and long-term strategic initiatives aligned with New Vitae's mission, values, and regulatory environment. Translate organizational goals into measurable objectives, timelines, and success metrics. Monitor progress on strategic initiatives and recommend course corrections as needed. Performance & Data Analysis Analyze operational, financial, workforce, and clinical performance data to identify trends, risks, and opportunities. Develop dashboards, reports, and executive-ready insights to support decision-making. Support initiatives related to workforce stability, retention, productivity, and service quality. Operational & Process Improvement Identify inefficiencies or gaps in workflows across programs and departments. Lead or support process improvement initiatives that enhance service delivery, compliance, and staff effectiveness. Collaborate with department leaders to implement sustainable operational improvements. Growth & Business Development Support Conduct market research and competitive analysis to support program expansion, new services, or site development. Assist with feasibility studies, proposals, and strategic business cases. Support payer, referral, and community partnership strategy as needed. Change Management & Communication Support organizational change initiatives by developing communication plans, implementation strategies, and stakeholder engagement approaches. Facilitate cross-functional collaboration to ensure alignment and accountability. Serve as a thought partner and internal consultant to leaders across the organization. Compliance & Mission Alignment Ensure strategic initiatives align with behavioral health regulations, accreditation standards, and funding requirements. Maintain a strong focus on client-centered care, trauma-informed practices, and ethical operations.
KNOWLEDGE
Working knowledge of Pennsylvania Department of Human Services regulations related to Adult Residential Care, as well as the department's Regulatory Compliance Guide (RCG), as related to this position.
Knowledge of Behavioral Health Practice Guidelines, as related to this position.
Knowledge of how to manage a diverse group of persons and skill in doing so.
Knowledge of current trends and developments in behavioral health care field Certification in First Aid and CPR Fluent in English and literate. SKILLS
Ability to make fiscally sound decisions without compromising quality of staff and services Time management skills.
Keen observation skills. Ability to communicate effectively, both verbally and in writing.

QUALIFICATIONS 1.
Education:
Required:
Bachelor's degree in Business Administration, Healthcare Administration, Public Health, Psychology, Social Work, or a related field.
Preferred:
Master's degree (MBA, MHA, MPH, MSW, or similar). License 2.
Experience:
Required:
5+ years of experience in strategy, operations, consulting, or performance improvement—preferably within healthcare, behavioral health, or human services. Strong project management skills with experience leading cross-functional initiatives. Excellent written and verbal communication skills, including executive-level presentations. Demonstrated ability to analyze complex data and translate it into clear, actionable recommendations.
Required:
Be free from a medical condition, including drug or alcohol addiction, which would limit staff persons from providing necessary personal care services with reasonable skill and safety. Maintain a valid driver's license
WORKING CONDITIONS
Physical Demands:
1. Able to sit, stand, and walk for periods of time 2. Able to lift up to 50 lbs. 3. Able to hear ordinary conversation and phone communications
Equipment Operation:
1. Able to operate common household equipment (e.g. vacuum, washing machine, dryer, etc.) 2. Able to operate common office equipment. 3. Ability to drive/transport individuals in own vehicle and/or company vehicle
Hazards of Position:
1. Physical/verbal aggression of residents 2. Exposure to household cleaning products and second-hand smoke 3. Slight risk of contact with blood-borne pathogens
Pay:
