The CEO of Ryze works across nearly every part of the business — operations, vendors, consultants, marketing, product development, events, and everything in between. We're looking for someone who can help bring order to all of it. This role is for a highly organized, proactive, and resourceful Executive Assistant who can help our CEO stay focused, informed, and one step ahead. You'll manage priorities, track follow-ups, coordinate communication, and make sure important details don't get lost when the day inevitably changes direction. This is not just a calendar-management position. You'll become a trusted partner who helps create the structure our CEO needs to operate effectively in a fast-moving, growing company. You can move from coordinating an order, to drafting an email, to booking travel, to tracking down an approval without losing sight of the bigger picture. If that sounds like you, this may be a great fit. What You'll Do Executive Organization & Follow-Through Manage the CEO's calendar, appointments, priorities, and daily task list. Track deadlines, approvals, payments, meetings, and key decisions. Provide proactive reminders and follow up on outstanding items. Adjust schedules and priorities as needs change throughout the day. Maintain clear to-do lists and help ensure important tasks are completed. Communication & Gatekeeping Help manage the flow of communication between the CEO and internal teams. Monitor and help organize email communication when appropriate. Draft and polish emails, messages, follow-ups, and other correspondence. Help determine what requires the CEO's immediate attention and what can be handled elsewhere. Relay information clearly, accurately, and on time. Vendor, Order & Operational Coordination Assist with product, material, and vendor orders. Communicate with vendors regarding timing, accuracy, changes, and delivery. Track orders, invoices, payments, production, and fulfillment timelines when needed. Follow up on delays or unresolved issues and help keep projects moving. Coordinate with internal leadership and operations teams to ensure information reaches the right people. Creative, Marketing & Consultant Support Coordinate creative requests, revisions, deadlines, and approvals. Assist with drafting consultant coaching materials and internal communications. Support product naming, jewelry descriptions, and other written content when needed. Help coordinate communication between the CEO, marketing team, designers, and outside creative partners. Travel, Events & Executive Support Coordinate travel, including flights, lodging, schedules, and related logistics. Work with event planners, conference vendors, and other outside partners. Track event-related deadlines and ensure details are completed. Handle changing priorities and unexpected tasks with professionalism and discretion. What We're Looking For 3+ years of experience in executive support, administrative coordination, project coordination, operations, or a similar role preferred. Exceptional written and verbal communication skills. Strong organizational skills and attention to detail. Ability to manage multiple priorities without losing follow-through. Sound judgment and the ability to recognize what needs immediate attention. Confidence working independently and taking ownership of assigned responsibilities. Professional, discreet, trustworthy, and reliable. Comfortable using Google Workspace, email and calendar tools, spreadsheets, and task-management platforms. Experience working with vendors, e-commerce, jewelry, fashion, or creative businesses is a plus. What Success Looks Like Success in this role means the CEO spends less time chasing information, remembering follow-ups, coordinating details, and managing administrative tasks — and more time focusing on the areas of the business that need her most. You'll know you're doing well when deadlines are being tracked, communication is flowing, outstanding items are followed through, and the CEO can confidently hand something off knowing it will be handled.
