We are a growing, boutique law firm specializing in the representation of local government entities in transactional, governance, and litigation settings, dedicated to providing exceptional service to our clients. We are seeking an organized, highly capable Law Firm Administrator to oversee our daily business operations and support our legal team.
Position Overview:
The Law Firm Administrator will serve as the operational backbone of the firm. You will report directly to the Managing Partner and manage the administrative, financial, and human resources functions of the office, allowing our attorneys to focus entirely on the practice of law.
Key Responsibilities:
Office Operations:
Manage day-to-day office functions, including maintaining supplies, coordinating vendor services, and overseeing firm technology/equipment.
Financial Management:
Oversee accounts payable/receivable, process billing/invoicing, handle trust accounting, assisting with monthly payroll and budget tracking, and working with the firm's accountant to ensure completion of annual tax returns.
Human Resources:
Manage onboarding and training for support staff, track Paid Time Off (PTO), coordinate benefits enrollment for employees and maintain employee personnel files.
Case Management System:
Act as a primary control point for establishing new client matters within the firm's matter management system and ensure compliance with legal and professional document retention policies and standards.
Workflow Optimization:
Develop and implement administrative procedures to improve overall office efficiency and support staff productivity.
Qualifications:
Experience:
Minimum of 3 years of administrative experience, with at least 1 year in a legal setting (as a Legal Assistant, Paralegal, or Office Manager).
Tech-Savvy:
Proficiency in current version of Microsoft Office Suite and experience with legal practice management software (e.g., Clio, MyCase, or PracticePanther) and accounting software (e.g., QuickBooks).
Organization:
Superior multitasking abilities with a keen eye for detail and strict adherence to client confidentiality.
Education:
Associate's or Bachelor's degree in Business Administration, Human Resources, or Paralegal Studies is preferred.
