Full Job Description Job Title:
Senior Real Estate Assistant / Transaction Coordinator (Full-Time) Our growing real estate office is seeking a highly experienced, detail-oriented Real Estate Assistant / Transaction Coordinator to support daily operations, manage transactions, and work directly with clients and leads. This is a key role requiring strong organization, communication, and real estate industry expertise. Responsibilities include, but are not limited to: Manage and oversee all aspects of buyer and seller transactions from initial contact through closing Coordinate and maintain a pipeline of new and existing clients , including online leads and lead providers Conduct outbound follow-up and cold calling on online and inbound leads Provide exceptional client communication , serving as a primary point of contact throughout the transaction Prepare and manage listing materials , including: Pre-listing presentations Listing agreements Seller disclosures Comparative Market Analyses (CMAs) Input, track, and maintain accurate data in CRM, MLS, and transaction management systems Submit and monitor all required documentation for broker and office compliance Coordinate with agents, clients, lenders, title companies, attorneys, and inspectors Manage and update GSMLS and Simplicity Forms Support marketing initiatives , including: Social media marketing (Facebook, Instagram, TikTok) Google Ads and online lead platforms Maintain strict attention to deadlines, file accuracy, and follow-through
Qualifications & Requirements:
5-10 years of experience in the real estate industry (required) Prior experience as a Real Estate Assistant, Transaction Coordinator, or similar role Bilingual (Spanish / English) - Preferred Proven experience handling client-facing responsibilities and lead follow-up Strong organizational, time-management, and multitasking skills Excellent verbal and written communication skills Proficiency with GSMLS, Simplicity Forms, CRM systems , and transaction management platforms Advanced working knowledge of Microsoft Word, Excel, and Google Workspace Professional, proactive, and detail-oriented mindset
