Job Summary The Minnesota Tax Court is seeking qualified candidates for a full-time paid Court Operations Associate. In this role, you'll play a vital part in ensuring optimized court processes by managing case records, assisting with scheduling, and providing exceptional service to legal professionals and the public. Your problem-solving skills and critical thinking will be key as you navigate complex situations and help maintain the integrity of court operations. With a telework arrangement, onsite attendance may be required for team meetings or as requested by management to meet business needs, which is typically 80% of the pay period. Major job duties:
Initiates and maintains electronic case records, ensuring accurate data entry for parties, documents, docket entries, case status, dispositions, scheduling, and other case information. Communicates with litigants and the public regarding filing requirements, deficiencies, scheduling, and related matters. Reviews legal documents for completeness, accuracy, adequacy, restricted identifiers, and compliance with applicable rules and statutes; accepts or rejects filings, determines required processing, and takes appropriate action. Maintains electronic resources and materials using applicable technology. Processes cases within assigned areas; researches, tracks, and monitors case status and progression; follows up with judges, attorneys, and parties as needed; and coordinates case scheduling and hearings. Assists attorneys, parties, self-represented litigants, judges, and the public in person, by phone, mail, and electronically. Provides forms, documents, and procedural information; assists with applications and forms; prepares courtrooms for hearings; and refers complex or specialized inquiries as appropriate. May provide courtroom clerk support on occasion, recording minutes, managing exhibits, and documenting case information Participates in meetings and training and maintains current knowledge of court policies, procedures, processes, and technology. Generates and reviews reports to verify accuracy and integrity of case data entry. Develops and maintains procedural guidance and training materials and provides feedback regarding technology, processes, and court procedures. Qualifications Minimum Qualifications Education/Knowledge or experience that demonstrates the following skills and abilities: Skills in: Preparing and processing legal papers and correspondence. Organizing and maintaining documents and case files. Taking notes at legal meetings, hearings, or depositions. Providing prompt and accurate information to customers in person, on the phone, and through email and other written or electronic correspondence Document and records management sufficient to maintain electronic or paper files for efficient organization and retrieval of information Ability to: Coordinate with a diverse clientele in a legal setting to include attorneys, agencies, court personnel, and the public. Fluently communicate, read, understand, and respond to a variety of communications and follow detailed instructions and procedures. Effectively communicate, listen to, and elicit information with tact and diplomacy Preferred Qualifications Experience working in the legal field or court setting Experience using court case management or information systems and electronic filing. Demonstrated ability to read and interpret legal documents, laws, statutes, rules, policies, and procedures of varying types and complexity. Demonstrated ability to maintain accuracy and attention to detail in an environment with frequent interruptions. Demonstrated ability to exercise sound judgment and discretion when handling sensitive and confidential information and files in accordance with applicable laws, policies, rules, and statutes. Demonstrated ability to effectively prioritize work and adapt to changing workloads, assignments, procedures, technology, court trends, and organizational priorities. Extensive knowledge of court policies, procedures, processes, and terminology, and applicable laws, statutes, and rules. Physical Requirements Requires occasionally transporting such articles as file boxes and laptops or heavier materials with help from others and/or moving light objects frequently. Even though the weights being lifted may only be a negligible amount, a job in this category may require moving or remaining in a stationary position to a significant degree while working with legal files and research materials.
