Job Statement:
This position exists to facilitate the operations of the Register of Wills, Recorder of Deeds and Clerk of Orphans' Court offices. All employees are cross-trained in the duties of all three offices. Job Duties/Responsibilities
- General The ability to change directions, priorities, offices, or thought processes to accommodate the needs of a very busy public office with multiple requests for different services or levels of information, all being requested nearly at the same time.
Act under the supervision of the Office Holder to serve public customers, answer phones, process requests for services and information, retrieve information, enter data into computer software systems, handle and process payments via cash or check.
Excellent listening and communications skills with general public, professionals and employees. Ability to work accurately and efficiently from verbal instruction and above average skill in the ability to guide uniformed customers.
Ability to read, learn, interpret and apply legislative information, guidelines, ordinances at the local, county, state and federal levels as it applies to the offices.
Ability to research historical archives and provide complete and accurate information from that research, including the recognition of possible gaps in information and/or directing customers to the proper office or location for additional or missing information.
Review, record, index and scan documents relating to property in Huntingdon County including, but not limited to: deeds, mortgages, sales agreements, leases, right of ways, surveys, sub-division plans, oaths and commissions of court officers, notary public commissions, and military discharge papers.
Verify the work of others and make corrections if/when necessary.
Use and maintain all computer equipment with regard to the daily processing of information and public use stations.
Respond to a wide variety of telephone inquiries, provide accurate information and know when to direct callers to another department, agency or to the office holder for the most complete information.
Ability to react productively to constant changes in priority of work throughout the day and maintain focus, accuracy and professionalism in a very busy office environment.
Responsible for other duties as assigned.
Job Specifications:
Education
- High school diploma or equivalent.
Experience - Prior clerical experience and experience with MS Office software.
Excellent customer service, telephone and mathematical skills. Letter writing and communication skills. Ability to speak and write English.
Ability to lift heavy document books, files and maps.
Valid driver's license.
Good working knowledge of business arithmetic and English grammar.
Ability to type from clear copy or rough draft at a reasonable rate of speed.
Ability to understand and follow simple oral and/or written instructions.
Specific Requirements:
Ability to perform bookkeeping duties.
Knowledge of the principles, methods and practices of accounting.
Good working knowledge of Huntingdon County geography.
Some basic knowledge of court procedures.
Ability to work effectively and courteously with the general public.
