Job Description

We're looking for a highly organized, self-sufficient professional to support daily office operations, employee onboarding, and housing logistics. This role is central to keeping our workplace running smoothly and requires someone who can manage multiple priorities, communicate across departments, and take ownership of both routine and time-sensitive tasks. The right candidate will be comfortable working independently, solving problems, and coordinating across teams.
Responsibilities:
Serve as the first point of contact by answering the main phone line, greeting visitors, and directing inquiries. Maintain overall office organization, supply levels, and day-to-day functionality. Order and maintain office, break room, and workplace supplies. Monitor office inventory and coordinate purchasing as needed. Coordinate vendors, deliveries, and facility services (maintenance, waste, water, etc.). Schedule meetings, conference rooms, and business travel as needed. Support meetings and ensure shared spaces are clean, stocked, and operational. Work closely with the HR Manager to support onboarding processes and new hire coordination. Help maintain accurate records and onboarding documentation Serve as the initial in-person point of contact for employee questions, troubleshooting, and direction to the appropriate departments. Assist with employee housing assignments, reservations, and tracking systems. Coordinate move-ins, move-outs, inspections, and related logistics. Code purchase receipts and expense documentation for accounting. Create and distribute internal communications, including newsletters, memos, and announcements. Support employee events, recognition efforts, and company initiatives. Maintain and organize shared systems, documents, and databases. Assist with special projects and other duties as assigned.
Required Skills/Abilities:
Strong organizational and time management skills Ability to manage multiple priorities with minimal supervision Clear and professional written and verbal communication Excellent attention to detail and accuracy Strong problem-solving and critical thinking skills Ability to handle sensitive and confidential information Proficiency with Microsoft Office, Teams, and general administrative systems Ability to coordinate across departments and with external vendors Frequent sitting; occasional standing, stretching, bending, and reaching The ability to lift 25 pounds
Education/Experience/Qualifications:
High school diploma or equivalent 3+ years of experience in office administration, administrative support, customer service, or a related role Familiarity with tools such as Smartsheet, DocuSign, Canva, or similar platforms preferred Experience working in a fast-paced, multi-functional role Familiarity with the transportation or trucking industry is preferred.
