Job Description

Work involves assisting of the Manager of License Operations and other supervisory staff in the daily operations of the License Department. These duties include but are not limited to filling in for the Supervisor in any of the three locations in their absence when necessary, maintaining the website with up to date information, overseeing the training of new employees, making sure the clerks have the tools they need to succeed , and creating the notices to be mailed or emailed to customers. This position deals with the general public constantly throughout the workday and requires excellent customer service skills. Work involves the operation of common office equipment and performing other duties as assigned and required in a dynamic office setting. This position also deals with several different internal departments and must be able to communicate in a timely manner with them. Although based in Columbiana, the position will work in all 3 license offices. Duties and Responsibilities Issuance of all instruments pertaining to vehicle registration and tag renewal, title application, boat registration, conservation license, state business license, mandatory insurance reinstatements and driver's license renewals and replacement. Manufactured homes registration will be moving to the license office as well. Accurately reviews documents and assist clerks to determine the appropriate course of action to complete the transaction. Ensures all tax percentages are correct from Alabama Department of Revenue in our county system. Accurately collects and records payments and balance cash receipts to daily activity reports. Maintains professional behavior and excellent customer service at all times. Assists License Clerks in the issuance of licenses, tags and titles. Maintains a good working relationship with bookkeeping staff to maintain consistency and efficiency of collections from the public through the issuance and application of required documents. Communicates with office supervisory staff to address staff errors and training concerns regarding License Clerks. Researches policy/law and update reference material as needed with approval of Operations Supervisor and Supervisor of Financial Services. Updates staff on all revisions to existing laws and new legislation that affects the issuance of License Department transactions. Maintains files for reference material (SOP's and customer handouts) related to all License Department transactions. Oversees the training of all License Department employees. Makes recommendations to management staff on procedural matters Continuously updates department web page Develops a continuous training program that will be utilized for new employees as well as ongoing study for existing clerks. Creates notices to customers in a timely manner Meets with Assistant Supervisors to make sure policies are being followed Verifies proper procedures are being followed by random audit of files in all three offices Ensures the ATM's are staying up to date and are fully functional to assist customers. Meets with Manager of License Operations on every Monday to discuss previous week and what is on the agenda for current week Puts in place loss theft prevention ideas Performs all duties in a safe and efficient manner Performs all other duties as assigned by supervision
Minimum Requirements:
High School Diploma or equivalent Five Years or more experience working directly with the public An understanding of License Department computer program operations Must be proficient in Microsoft Excel, Word, and Power Point. Must be able to work multiple locations Must possess valid driver's license Must be available to work non-standard hours and more than 40 hours per week when necessary
Preferred Requirements:
Bachelor's Degree in business management or human resources Five years experience in a License Office One or more years' experience in bookkeeping or accounting Knowledge of the State of Alabama licensing laws and procedures Experience issuing instruments processed through the Shelby County License Department Two or more years' experience in a classroom training environment Two or more years' experience with training software
Working Conditions:
Work is performed in an office environment. Limited travel may be required.
Physical Requirements:
Work is light in nature involving a significant amount of sitting, standing and walking and nominal travel may be required.
