Job Description

On behalf of our client, Foundations , we are looking for an Office Manager. Foundations, based in Fairfield, AL provides a Christ-centered environment where children are developed academically, physically, socially, and spiritually during their most formative years. Partnering with families of children from birth to five, Foundations combines best-known practices in early childhood education with the love, grace, salvation, and transforming power of the Lord Jesus Christ to prepare children for lifelong learning and school readiness while strengthening families in their faith and parenting journey. Volunteer and Investor Development and Management Responsible for the oversight and implementation of the volunteer and investor management systems (SALSA) and related technology programs. Assists the board and Head of School with development objectives through but not limited to: The input, monitoring and reporting of volunteer/investor contact, participation and giving data Responsible for sending out regular communications to mailing list and donors (i.e. newsletters, announcements) Responsible for donor acknowledgment (receipts, thank you notes, IRS letters) Provides staff and board/committees with data for monthly, quarterly and year-end snapshots, annual reviews, data needed for grants, etc. as needed Volunteer/Investor Relationships Participates in individual, church and organization recruitment and relationship building Work with HoS or Assistant HoS on volunteer placement and scheduling Responsible for volunteer training, thanking, keeping connected Assists with special events (luncheons, small group presentations, missions conferences, SS class talks, etc.) Responsible for preparing materials, communications, RSVP's, set-up, clean-up Participates in communicating mission and vision, volunteer, investor and prayer needs 2. Client Management Systems Assists with the oversight and implementation of the client data management system (ProCare) and other technology programs. Assists the Executive Director and Head of School with program objectives through but not limited to the input, monitoring and reporting of: Ensure child and family enrollment and demographic info are uploaded or completed and run periodic reports Child developmental progress and spiritual growth Includes transferring OSR data into Foundations long-term database Includes long-term follow-up after leaving Foundations Family participation, skills and spiritual growth Includes periodic long-term follow-up after leaving Foundations Assists with the creation of a year-end review of all program goals 3. Enrollment Responsible for tasks related to family enrollment, sliding scale tuition and subsidy enrollment, USDA food program 4. Office Management Works with board and School Secretary on digitizing office systems and implementing them (i.e. payroll, PTO, etc.) Assists with opening and closing of facility as requested Assists with collection of tuition/fees and paperwork as requested Works with board and develops system for monitoring income and expenditures Assists with the purchase of all office supplies; assists with classroom supplies as requested Assists with expense, budget and financial tracking and reporting (OSR and non-OSR) 5. HR Assists the HoS in implementing non-supervisory HR tasks such as posting job descriptions, collecting applicant materials, lining up interviews, handing out letters of intent, creating offer letters (with information from board) as requested Other things to participate in Morning and/or afternoon worship with children (when schedule allows) Parent involvement nights and conferences (required) Compensation and Benefits A competitive salary is offered based on experience.
