Located in San Luis Obispo's beautiful Historic Downtown District, studio 2G Architects is looking for an upbeat Office Administrator to support the overall functioning of the office. This will include tasks such as office maintenance, office announcements, contact management, benefit tracking, invoicing and statements. studio 2G was founded in 2005 by Heidi Gibson and Laura Gough and specializes in Public, Commercial, Residential, and Hospitality Architectural design with an emphasis on sustainability. Starting in January of 2023, Ashley Mayou became a Jr. Partner. A healthy office culture and employee wellness are priorities within the firm. Office Administrator:
Office Operations Support the day-to-day operations of the office and help maintain an organized, efficient, and welcoming workplace. Manage office inventory, supplies, and ordering. Coordinate routine office and facility maintenance, including printers, air and water filters, and other office equipment. Serve as a point of contact for the landlord, custodial team, vendors, and service providers to help resolve office and facility-related needs. Human Resources & Employee Support Coordinate hiring, onboarding, and offboarding processes. Assist with payroll administration and maintain accurate employee information and records. Administer employee benefits, including retirement plans, health and other insurance benefits, and paid time off. Coordinate employee wellness check-ins and performance review processes. Respond to day-to-day employee questions and HR needs, including forms, internal communications, and company policies. Coordinate employee leaves of absence and related documentation, including communication with EDD and other applicable agencies. Maintain and update the Employee Handbook, HR forms, and related policies and procedures. Help ensure employee records and HR processes remain organized, accurate, and up to date. Accounting & Administrative Support Assist with accounts receivable and accounts payable, including depositing checks, preparing and distributing invoices, processing vendor bills, and coordinating payments. Assist with bank account reconciliation, account reviews, and routine financial recordkeeping. Assist with the calculation and tracking of quarterly overhead rates. Coordinate the preparation and distribution of annual 1099s to subcontractors. Maintain organized accounting and administrative records and support the firm's accounting team as needed. Additional Responsibilities Provide general administrative support to the firm's partners and staff as needed. Assist with special projects and internal initiatives. Perform other duties as assigned to support the ongoing needs of the firm.
Qualifications:
Entry level, however experience in office administration, operations, human resources, bookkeeping, or a related administrative role is a plus. Highly organized and detail-oriented, with the ability to manage multiple responsibilities, deadlines, and recurring tasks. Strong written and verbal communication skills with a professional and approachable demeanor. Demonstrated discretion and sound judgment when handling confidential employee, payroll, and financial information. Self-motivated and proactive , with the ability to identify needs, solve problems, and follow tasks through to completion with limited supervision. Comfortable working in a small-office environment where responsibilities may vary from day to day and team members often wear multiple hats. Working knowledge of basic HR and payroll processes, including onboarding, employee records, benefits administration, and time-off tracking; California HR experience is a plus. Basic understanding of accounts payable, accounts receivable, bank reconciliations, and general bookkeeping practices. Strong computer skills and the ability to learn new systems quickly. Experience with QuickBooks Online, Google Workspace, or similar business software is preferred. Ability to communicate professionally with employees, applicants, consultants, and outside service providers. Strong sense of accountability, reliability, and follow-through. Ability to work independently while also collaborating effectively with firm leadership and staff. Growth, Training & Flexibility We don't expect you to know everything on day one! Many of the responsibilities associated with this position will be taught through hands-on training and onboarding. We're looking for someone who is curious, organized, dependable, and excited to learn new skills across office administration, human resources, accounting, and business operations. This position is designed to transition gradually. During the first few months, hours may be more limited while training takes place and responsibilities are transitioned to the new Office Administrator. As you become comfortable and independent in the role, you'll have greater flexibility in establishing a work schedule that works for you and the needs of the firm. We're looking for someone who values flexibility but is also interested in growing with studio 2G. While this is currently a part-time position, there may be opportunities to take on additional responsibilities and increase hours over time. For someone interested in continued professional growth, the role also has the potential to develop into a full-time position in the future.
Job Type:
Part-time (10-15 hours a week for the first few months, then 15-30 hours depending on your workload). For training purposes, from October-December, you must have availability on Tuesdays, Thursdays, and Fridays. Our office is open Mon-Fri 8:30am-5:30pm and closed on most U.S. major holidays
Pay:
$24-$30/hour based on experience.
