Position Summary Conscience Bay Company is seeking a proactive, highly organized Executive Assistant / Office Manager to serve as the operational backbone of our Boulder office. This role combines front-desk and office management duties with executive assistant support for senior leadership, and is ideal for someone who enjoys variety, anticipates needs before being asked, and takes pride in running a professional, well-organized workplace. The ideal candidate is a strong multitasker with excellent judgment, discretion, and follow-through — comfortable greeting visitors and managing vendor relationships one moment and coordinating executive travel or assembling board materials the next. This position reports to senior leadership and interacts daily with the CBC team, tenants, vendors, and outside partners. Front Desk & Office Management Serve as the first point of contact for the office — greet visitors, answer and screen calls, and direct inquiries to the appropriate person Oversee day-to-day office operations, ensuring the office is organized, professional, and functioning efficiently Manage office supplies, equipment, furniture, technology, subscriptions, and routine purchasing; maintain kitchen and common-area supplies Serve as primary point of contact for office vendors, building/property management, maintenance providers, IT support, and cleaning services; coordinate repairs and follow through to resolution Manage incoming mail, packages, shipping, couriers, and document distribution Coordinate meeting logistics, including conference room scheduling, AV/technology setup, food and beverage, materials, and guest arrangements Assist with presentation and meeting material preparation, including formatting, proofreading, printing, and binding Plan and help execute office events, including holidays, birthdays, and team celebrations Maintain office-related records, vendor contacts, service agreements, and recurring expenses Assist with expense reports, receipts, credit-card documentation, and reimbursements Identify opportunities to improve office operations and take ownership of implementing them Updating and maintaining the Company websites via WordPress Executive Assistance to Senior Leadership Manage calendars, appointments, meetings, and scheduling for senior leadership Coordinate travel, including flights, hotels, transportation, reservations, and itineraries Support planning and execution of firm gatherings, client dinners, and other events Manage online purchases, deliveries, subscriptions, and related administrative orders Maintain contact lists and help track follow-ups, commitments, and correspondence Research questions and prepare concise summaries or recommendations Help manage projects from start to finish, establishing next steps and following through to completion Anticipate upcoming needs and deadlines, addressing them proactively Required Qualifications Minimum 3-5 years of experience as an Executive Assistant, Office Manager, or in a similar administrative role Exceptional organizational skills and the ability to manage multiple priorities and deadlines simultaneously Strong written and verbal communication skills Proficiency with Microsoft Office / Google Workspace and general office technology High attention to detail and the ability to handle sensitive and confidential information professionally A professional, welcoming demeanor and strong customer-service orientation Preferred Qualifications Experience in commercial real estate, property management, or a professional services environment Experience with accounts payable/receivable, invoice processing, or basic bookkeeping Experience supporting executive leadership and coordinating events
Pay:
$60,000.00 - $70,000.00 per year
