Job Description

Allergy, Asthma & Immunology of the Rockies is a physician-owned specialty practice serving the Roaring Fork Valley from two offices. Following our return to independent ownership, we're rebuilding our operations from the ground up — systems, workflows, documentation, and compliance. We're looking for an Office Manager to take ownership of the business side of the practice and work directly with the physician-owner. This is a building role, not a caretaking role. If you like inheriting a tidy operation and keeping it tidy, this isn't it. If you like walking into something that needs real work and putting your fingerprints on how it gets done, read on. Responsbilites
  • Run day-to-day operations across both offices — scheduling, patient flow, supplies, facilities, and vendor relationships
  • Supervise front office and administrative staff: hiring, onboarding, scheduling, training, and performance
  • Oversee the revenue cycle in partnership with our outside billing company — charge capture, claim follow-up, denials, patient collections, and monthly financial reporting
  • Manage payer credentialing, contracts, and enrollments; track renewal and revalidation deadlines
  • Maintain compliance programs including HIPAA, OSHA, No Surprises Act / Good Faith Estimates, and Section 1557, and keep required postings and policies current
  • Administer practice systems and user access — EHR, patient portal, phones, payments, and document storage — including onboarding and offboarding
  • Track key metrics (visit volume, no-shows, collections, A/R aging) and bring the physician-owner real numbers, not impressions
  • Coordinate with outside counsel, accountants, insurers, and consultants as directed The Ideal Candidate
  • Three or more years of medical practice management or comparable healthcare administrative leadership; specialty practice experience preferred
  • Working command of medical billing, coding basics, insurance contracting, and revenue cycle metrics
  • Demonstrated supervisory experience — you have hired, trained, and held people accountable
  • Practical knowledge of HIPAA and healthcare compliance obligations
  • Strong systems thinking: you improve processes rather than working around them, and you own them end to end
  • Proficiency with EHR/practice management software and Microsoft 365; Allscripts/Veradigm a plus
  • Associate or bachelor's degree preferred; CMPE, CMOM, or equivalent credential a plus
  • Bilingual English/Spanish a plus Why AAIR
