This position plays an important role in both the guest experience and the day-to-day operation of the hotel. The Front Office Manager will oversee Front Desk operations, guest service, scheduling, training, team performance, and operational standards while working closely with other hotel departments. Administrative responsibilities will include responding to online guest reviews, inputting and processing invoices through the hotel's accounting systems, maintaining Front Office records, and completing other operational and administrative tasks. This is not strictly an office position. The Front Office Manager is expected to work 2-3 Front Desk shifts per week alongside the team, with approximately 2 office/admin days per week dedicated to scheduling, invoices, guest reviews, training, follow-up, and other management responsibilities. We are looking for a manager who is comfortable leading from the front and being actively involved in daily operations. Responsibilities Oversee the daily operations of the Front Desk Supervise Front Desk Agents and Night Auditors Work 2-3 scheduled Front Desk shifts each week to provide operational coverage and remain actively involved with the team Create and maintain Front Desk schedules based on staffing and business needs Lead, train, coach, and support Front Desk team members Ensure smooth and professional guest check-in and check-out procedures Ensure proper reservation, payment, billing, and authorization procedures are followed Utilize OPERA Cloud or a similar property management system (PMS) to manage reservations, guest records, billing, room assignments, and daily Front Desk operations Handle guest concerns, complaints, service recovery, and escalated situations professionally Respond to online guest reviews in a professional and timely manner Input and process invoices through the hotel's accounting systems Ensure the Front Desk team consistently provides excellent customer service and guest communication Oversee and support Night Audit procedures and ensure daily processes are completed accurately Review Front Office activity and follow up on outstanding guest or operational issues Assist with hiring, onboarding, training, coaching, and performance management Maintain appropriate documentation of guest incidents, complaints, and resolutions Ensure hotel policies, safety procedures, and emergency procedures are followed Coordinate closely with Housekeeping, Engineering, Sales, Security, and other departments to ensure smooth hotel operations Assist with Front Desk coverage for call-offs, vacations, and changes in business levels when necessary Complete administrative responsibilities during scheduled office days Support the Assistant General Manager and General Manager with hotel operations as needed Experience & Qualifications Previous hotel Front Desk experience required Previous supervisory or management experience strongly preferred Experience with OPERA Cloud or a similar hotel property management system (PMS) preferred Strong guest service and problem-solving skills Ability to confidently handle guest complaints and difficult situations Strong leadership skills with the ability to coach, train, and hold team members accountable Strong communication skills and professional phone etiquette Strong organizational skills and attention to detail Comfortable working with invoices, basic accounting processes, and hotel administrative systems Ability to stay organized and manage multiple priorities in a fast-paced hotel environment Familiarity with Night Audit procedures preferred Knowledge of hotel safety and emergency procedures preferred Bilingual or multilingual skills are a plus Dependable, flexible, and willing to adjust based on operational needs Schedule This is a full-time management position that combines Front Desk coverage with administrative responsibilities.
The typical schedule includes:
2-3 Front Desk shifts per week Approximately 2 office/admin days per week Weekend and holiday availability based on business needs Flexibility to assist with Front Desk coverage when necessary We are looking for a Front Office Manager who is present, involved, and engaged with their team. The right candidate will be comfortable balancing leadership and administrative responsibilities while also working alongside the Front Desk team to provide a positive experience for our guests.
