Our all-women team brings together creativity, craftsmanship, and heart. Between our remodeling company and our cabinet painting division, we complete over 80 projects each year. We believe in renewal - both in the spaces we transform and in the relationships we build with our clients. Our goal is to make every project seamless, personal, and inspiring. As the welcoming face of Bloom, the Front Office Administrator will interact with clients, vendors, community members, and our team while also providing bookkeeping, financial, and production support. This role is ideal for someone who genuinely enjoys people and is equally comfortable with numbers, spreadsheets, organization, and detailed administrative work. ➢ Office Administrator You will create a welcoming, professional experience for every client, community member, vendor, and team member who walks through our doors. This role is perfect for someone who enjoys helping others, takes pride in maintaining a polished space, and thrives on being part of a team. Front Desk & Guest Experience Greet and assist visitors, clients, vendors, and delivery personnel with professionalism and hospitality. Manage incoming calls, mail, package deliveries, and general inbox inquiries. Maintain a clean, orderly, and beautiful lobby, Design Center, design storage room, and common areas so they are always guest-ready. Office Operations & Administrative Support Support the Operations, Production, and Design teams with administrative tasks, communication needs, and document organization. Maintain inventory of office supplies, snacks, beverages, and other office necessities; shop for restock items as needed. Coordinate employee gifting, including preparing birthday gifts and assisting with setup for internal events. Assist owner/team with internal luncheons and food for meetings. Serve as a core member of Bloom's Event Committee, helping plan and prepare for community events. Manage apparel ordering and help maintain Bloom-branded apparel and supplies. Prepare weekly team announcements and internal communications. Take notes during staff meetings and post organized recaps to the appropriate Slack channel. Submit partnership applications to vendors and assist with vendor and community relationships as requested. Facilities & Office Upkeep Oversee small facility needs such as updating door codes, replacing bulbs, ordering basic maintenance materials, and coordinating repairs with our handyman or vendors as needed. Check ink supply and page count on HP printers on subscriptions Serve as the liaison between Bloom and our property management company Light cleaning and daily upkeep to maintain office cleanliness between our bi-weekly professional cleanings. Includes vacuuming, wiping surfaces, taking out trash, refreshing the team kitchen, and occasional fridge clean-outs. Coordinate our biweekly professional cleaning schedule and oversee quality Own the admin email and route emails to the appropriate employee General Administrative and Team Support Support leadership and team members with special projects and administrative needs. Help identify gaps in administrative processes and suggest practical ways to make things more organized or efficient. Take initiative to follow up on outstanding items rather than waiting for someone else to notice they are missing. Maintain discretion and professionalism when handling employee, client, vendor, and financial information. Open packages and notify designers of their materials arrival Own the internal check in and check out process of our design inventory Contribute to a positive, organized, and collaborative office environment. ➢ Bookkeeping Support This role provides administrative support for Bloom's bookkeeping and financial processes. You will help ensure information gets submitted accurately and on time, while following up with team members when something is missing. Review time clock entries each morning to ensure employees have properly clocked out the previous day and clocked in for the current day. Monitor Bloom Kitchens credit card statements and ensure required receipts and documentation are uploaded to Cost Inbox or submitted through the BK Purchases Google Form. Follow up with team members regarding missing receipts, purchase documentation, or other information needed for bookkeeping. Own the subcontractor bill approval process, following up with team members as needed to keep approvals moving. Review the billing email daily Flag urgent or time-sensitive payments to leadership. This position provides bookkeeping and financial administration support but does not have viewing permissions for Bloom's accounting or financial reporting. ➢ Production and Project Support You will support our Production team with occasional project-related administrative needs while helping create a thoughtful experience for our clients. Project and Client Support Serve as the first point of contact for incoming lead calls, gathering basic information and directing leads to the Lead Coordinator for follow-up. Prepare client gifts and materials for project kickoffs and final visits. Provide administrative support to the Production team as projects move through construction and closeout. Help track outstanding administrative items and follow up with team members when information or action is needed. This position will report to the Head of Administration and Lead Bookkeeper. As with all Bloom team members, performance will be reviewed regularly based on how well the responsibilities of the role are being fulfilled, quality and timeliness of work, initiative, and reliability.
PREFERRED QUALIFICATIONS
Strong organizational and time-management skills with excellent attention to detail. Excellent communication skills and a professional, friendly approach. Comfortable following up with coworkers and holding people accountable for providing information or completing administrative tasks. Proficiency in technology and willingness to learn new systems. Google Workspace Slack Buildertrend Previous administrative or bookkeeping support experience is preferred. Comfortable working with spreadsheets, forms, invoices, receipts, and other financial documentation. Comfortable with numbers. Proactive and dependable, with the ability to stay focused, move tasks forward, and complete work efficiently without constant oversight. Ability to take initiative, stay flexible, and manage multiple priorities in a fast-paced environment. A naturally helpful, team-oriented mindset with the ability to work independently. Professional judgment and discretion when handling confidential information.
SALARY AND SCHEDULE
$24/hr Between 28 - 32 hrs per week depending on workload Mon-Thurs, scheduled between 8am-4pm
