Lead daily operational execution at the Oakland Park office Ensure the practice is prepared for patients and providers before the clinical day begins Monitor patient flow, front-office workflows, staffing coverage, and operational readiness Identify scheduling, workflow, staffing, and patient-service issues in real time Reallocate priorities and resources when circumstances change Ensure established policies, workflows, and operating standards are consistently followed Resolve operational problems within your authority and escalate appropriately when needed Partner with Practice Leadership and other departments to address recurring operational issues The goal isn't to spend the day reacting to problems. It's to build an operation where fewer preventable problems happen in the first place. Team Leadership & Accountability Your responsibility goes beyond completing your own work. You're responsible for helping the team perform. Provide day-to-day supervision, direction, and support to assigned team members Set clear expectations for performance, patient service, accuracy, professionalism, and follow-through Monitor execution and address gaps when expectations are not met Provide timely, direct, and constructive feedback Coach employees and reinforce effective behaviors Support onboarding, training, and development of new team members Identify recurring performance, knowledge, or workflow gaps Recognize strong performance and reinforce accountability Escalate employee-relations and significant performance concerns through appropriate leadership channels Good supervision isn't making yourself indispensable. Patient Access & Experience Ensure patients receive professional, responsive, and compassionate service Oversee accurate and efficient check-in and check-out Ensure registration, demographics, insurance, consent, and payment information are accurate Monitor patient wait times, communication, and flow through the practice Address escalated patient concerns and support appropriate service recovery Ensure cancellations and missed appointments receive timely follow-up Identify recurring barriers affecting patient access or continuity of care Protect the patient experience even during high-volume or challenging clinical days Scheduling & Provider Performance Providers should be able to walk into a clinical day knowing the operation around them is ready. Monitor provider schedules for accuracy, utilization, gaps, and potential disruptions Ensure appointments follow established provider and organizational workflows Ensure Pre-Visit Planning and appointment confirmations are completed within required timelines Identify insurance, registration, scheduling, or readiness issues before they disrupt care Monitor cancellations, no-shows, and schedule-recapture efforts Support provider schedule utilization and patient continuity Coordinate with Medical Assistants, Patient Care Liaisons, Contact Center teams, Clinical Operations, and Practice Leadership Respond quickly when operational issues affect provider readiness or patient care Performance & Operational Improvement You'll be expected to understand not only what happened , but why it happened and what needs to change. Monitor office performance against established expectations and KPIs Identify patterns in scheduling, patient flow, attendance, workflow compliance, and team performance Investigate recurring operational problems and address root causes Reinforce documentation accuracy and workflow compliance Identify opportunities to improve efficiency without compromising patient experience Communicate meaningful performance trends and operational concerns to Practice Leadership Follow corrective actions through resolution The work isn't finished because the problem was identified. It's finished when the right action was taken, the appropriate people know, and the issue doesn't keep repeating. What You'll Bring We're intentionally looking for someone with healthcare operations and people-leadership experience. Required 2+ years of experience in medical office, outpatient practice, patient access, or comparable healthcare operations Previous experience directly supervising, leading, or managing employees in a healthcare environment Fluent English and Spanish—written and verbal Strong working knowledge of medical front-office and patient-access workflows Experience with patient scheduling, check-in/check-out, registration, and insurance verification Experience with patient payment collection and front-office financial workflows Experience supporting physicians, advanced practice providers, or other clinical professionals Demonstrated ability to coach employees and address performance concerns Strong problem-solving and decision-making skills Ability to prioritize competing operational needs in real time Strong attention to detail and documentation accuracy Experience using EHR and medical scheduling systems Strong professional communication and patient-service skills Working knowledge of HIPAA and patient-confidentiality requirements Reliable attendance and leadership presence Full-time, on-site availability in Oakland Park, Florida Preferred Behavioral health, psychiatry, or outpatient specialty healthcare experience Previous experience as a Medical Office Supervisor, Practice Supervisor, Assistant Practice Manager, Patient Access Supervisor, Front Office Supervisor, or comparable healthcare leadership role Experience supervising operations supporting multiple providers Experience with provider schedule utilization and performance metrics Experience with Tebra, Curogram, and RingCentral Experience with telehealth workflows Associate or bachelor's degree in Healthcare Administration, Business Administration, or a related field This Role May Be Right for You If… You're already supervising people in a medical practice and want broader operational ownership.
