Full-Time Position Summary The Office Manager is responsible for overseeing the day-to-day administrative operations of the homecare office and ensuring that clients, caregivers, families, and referral partners receive professional, timely, and compassionate service. This position plays a key role in coordinating office activities, maintaining accurate client and employee records, supporting caregiver scheduling, assisting with payroll and billing processes, monitoring compliance requirements, and providing excellent customer service. The ideal candidate is organized, dependable, detail-oriented, and comfortable working in a fast-paced homecare environment. Essential Duties and ResponsibilitiesOffice & Administrative Management Oversee daily office operations and administrative activities. Answer phones, respond to emails, and greet clients, families, caregivers, and visitors professionally. Maintain organized and accurate electronic and paper files. Prepare correspondence, reports, forms, and other administrative documents. Order and maintain office supplies and equipment. Coordinate office calendars, meetings, and appointments. Maintain confidentiality of client, employee, and company information. Client & Family Support Serve as a primary administrative point of contact for clients and their families. Respond promptly and professionally to client questions, concerns, and service requests. Assist with new client intake and onboarding processes. Maintain accurate client information and service documentation. Communicate schedule changes, caregiver updates, and other important information to clients and families. Escalate complaints, incidents, and service concerns to management when appropriate. Caregiver & Staffing Support Assist with caregiver recruitment, onboarding, and administrative paperwork. Maintain accurate caregiver personnel files and required documentation. Assist with caregiver scheduling and coverage for open shifts. Communicate schedule changes and assignments to caregivers. Monitor attendance, call-offs, late arrivals, and staffing issues. Assist management with performance and disciplinary documentation when necessary. Help ensure caregivers maintain required credentials, certifications, training, and documentation. Payroll, Billing & Financial Administration Assist with collecting and reviewing caregiver time sheets and electronic visit verification (EVV) records. Review hours for accuracy and identify discrepancies before payroll processing. Assist with client billing, invoicing, and payment tracking. Maintain accurate records of services provided. Communicate with clients, insurance companies, Medicaid/VA programs, or other payers as applicable. Work with management and accounting personnel to resolve billing and payroll discrepancies. Compliance & Recordkeeping Help maintain compliance with applicable state and federal homecare regulations. Maintain required client and employee documentation. Monitor expiration dates for licenses, certifications, background checks, training, and other required credentials. Assist with preparing records for audits, inspections, and quality assurance reviews. Follow company policies and procedures related to HIPAA, confidentiality, safety, and client rights. Report incidents, complaints, and compliance concerns to the appropriate manager. General Operations Assist the Administrator/Owner with special projects and operational initiatives. Develop and maintain office procedures to improve efficiency. Track important deadlines and follow up on outstanding tasks. Assist with marketing, community outreach, referral relationships, and company events as needed. Maintain a professional, welcoming, and organized office environment. Perform other duties as assigned. Qualifications High school diploma or equivalent required; associate or bachelor's degree preferred. 2+ years of administrative or office management experience preferred. Experience in homecare, healthcare, senior care, hospice, assisted living, or a related field is strongly preferred. Strong organizational and time-management skills. Excellent verbal and written communication skills. Strong customer service skills. Ability to manage multiple priorities and meet deadlines. Proficiency with Microsoft Office, Google Workspace, electronic scheduling systems, and other office software. Ability to learn and use homecare software, EVV systems, payroll systems, and electronic health record systems. Ability to maintain strict confidentiality and handle sensitive information appropriately. Strong attention to detail and problem-solving skills. Ability to work independently while also functioning effectively as part of a team. Preferred Skills Previous homecare or healthcare office management experience. Knowledge of Medicaid, Medicare, VA, private-pay, or long-term care services. Familiarity with EVV systems and caregiver scheduling. Experience with payroll and billing processes. Knowledge of HIPAA and healthcare documentation requirements. Experience working with state licensing or regulatory requirements.
