The Office Administrator plays a vital role in supporting these ministries through effective administration and communication. This on-site position provides a welcoming presence to members, visitors, staff, and community partners while ensuring the efficient operation of the church office. The Office Administrator works collaboratively with the Pastor, Church Council, Treasurer, staff, volunteers, and ministry leaders to support the mission and ministry of the congregation. Reports To The Pastor. Essential ResponsibilitiesOffice Administration and Congregational Communications Serve as the primary receptionist for the church office, welcoming visitors and responding to telephone, email, website, and social media inquiries. Maintain regular office hours and provide administrative support to staff, ministry teams, and congregation members. Prepare and distribute weekly e-updates, prayer requests, announcements, congregational mailings, and other communications. Prepare worship bulletins, announcement sheets, service scripts, and other worship-related materials as requested. Coordinate and maintain the church calendar, facility reservations, and building use agreements. Maintain church records, membership database, attendance records, volunteer information, and parish registers. Assist in preparing and distributing volunteer schedules and related worship communications. Send weekly scripture readings and related information to worship volunteers. Update and maintain the church website, social media platforms, digital displays, and other communication channels. Order office supplies, worship materials, altar flowers, and other approved ministry resources. Maintain records related to building access, including church key distribution. Coordinate with approved vendors and contractors regarding facility maintenance projects. Attend staff meetings and provide administrative support as needed. Congregational Support and Ministry Coordination Assist with the preparation of documents and communication related to baptisms, weddings, funerals, confirmations, and other special events. Support Church Council, committees, bookkeeper, and ministry teams with administrative needs. Communicate effectively with church leadership, volunteers, community partners, and the Metropolitan Chicago Synod of the ELCA. Help ensure smooth coordination of special congregational events and ministry activities. General Responsibilities Maintain strict confidentiality regarding member and employee information. Foster positive relationships with congregation members, staff, volunteers, community partners, and the Metropolitan Chicago Synod of the ELCA. Maintain an organized, professional, and welcoming office environment. Attend staff meetings and other meetings as requested. Accurately track hours worked. Perform other duties as assigned and mutually agreed upon. QualificationsRequired Qualifications Strong organizational skills and attention to detail. Ability to manage multiple projects and priorities simultaneously. Excellent verbal and written communication skills. Demonstrated proficiency with computers and office technology. Ability to maintain confidentiality and exercise sound judgment. Ability to work independently and collaboratively. Ability to learn new software systems and online platforms. Preferred Qualifications Experience in church, nonprofit, or office administration. Proficiency with Google Workspace and Microsoft Office applications. Experience maintaining databases, websites, social media accounts, or electronic communication platforms. Ability to learn church management systems. Physical Requirements Ability to sit, stand, walk, and use office equipment for extended periods. Ability to lift and carry office supplies and materials up to 25 pounds. Ability to move throughout the church facility as needed. Hours, Pay, and Schedule This is a 20-hour, on-site, part-time position and is typically scheduled during regular church office hours. Compensation will be at $22 an hour. Occasional flexibility may be required during holidays, special services, seasonal events, or congregational mailings.
