Founded by Master Electrician Jake Milner, we specialize in custom residential construction, working with general contractors and homeowners alike to deliver safe, code-compliant electrical systems from foundation to final inspection. Position Summary Rocky Ford Electric LLC is looking for a highly organized, proactive Office Manager who is ready to Own the Office . This person will keep daily office operations running smoothly while supporting management, field technicians, customers, and vendors. The ideal candidate is detail-oriented, dependable, professional, and willing to take initiative, improve processes, and help the company grow. Key Responsibilities Own the Office Take responsibility for keeping the office organized, efficient, and running smoothly. Support management with calendars, deadlines, meetings, email, estimates, and daily administrative needs. Serve as the primary communication hub between management, field technicians, vendors, and customers. Answer phones professionally and return missed calls and voicemails the same business day. Manage and organize email Proactively follow up on missing timecards, receipts, job notes, paperwork, estimates, and other information. Maintain employee files, new-hire paperwork, HR documentation, and onboarding requirements. Assist with hiring, interviews, background checks, and employee onboarding. Track employee time off, licensing, insurance, apprentice paperwork, and other company requirements. Assist with bills, receipts, invoicing, QuickBooks data entry, and project time and material tracking. Maintain company numbers, approved estimates, warranty files, tax-exempt documentation, and other records. Receive, organize, and track materials and help maintain a clean, organized office and shop. Create and maintain checklists and SOPs to improve consistency and efficiency. Identify problems, improve processes, and take initiative to help the company grow. Assist with company projects, employee needs, donations, and social media support as needed. Attend company training and support other duties as needed. Preferred Qualifications 2+ years of administrative, office management, bookkeeping, or related experience. Previous experience working in a construction, electrical, HVAC, plumbing, or other skilled-trades environment. Experience with QuickBooks or other accounting software. Basic understanding of bookkeeping, invoicing, accounts payable, and financial recordkeeping. Experience with employee records, HR administration, hiring, or onboarding. Experience managing calendars, email, scheduling, and multiple priorities. Strong computer skills and ability to learn new software and systems quickly. Experience creating and maintaining organized files, checklists, and standard operating procedures. Strong attention to detail and excellent follow-through. Professional communication and customer service skills. Ability to handle confidential information with discretion and integrity. Comfortable taking initiative, solving problems, and managing up when follow-up is needed. Physical Requirements Ability to sit and work at a computer for extended periods. Ability to occasionally stand, walk, bend, lift, and carry office supplies or materials. Ability to lift and carry up to approximately 25-40 pounds as needed. Ability to move between the office, shop, and material storage areas as needed. Ability to maintain a clean and organized work environment.
