Wildflower Pediatric Therapy is seeking a dynamic and highly organized Office Manager to oversee daily office operations and ensure a smooth, efficient experience for our families. This role is vital in coordinating administrative functions, managing office systems, and supporting staff to enhance productivity. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to handle multiple responsibilities with enthusiasm and professionalism. Duties Manage daily office operations, including overseeing front desk activities and ensuring a welcoming environment for families and staff Overseeing patient scheduling, appointment coordination, and follow-ups Handling patient billing, insurance claims, collections, and account questions Handle phone communication through multi-line phone systems, providing exceptional customer service and professional phone etiquette Maintain accurate data entry records, manage filing systems, and perform clerical tasks such as proofreading documents and preparing reports using word processing and spreadsheet software Assist with client communication by responding promptly to inquiries via email or phone support, ensuring clear and courteous interactions Organize office supplies inventory, manage vendor relationships, and coordinate maintenance or repairs to ensure a well-functioning workspace Managing staff schedules and coordinating team meetings Resolving patient concerns in a professional and courteous manner Supporting excellent communication between patients, doctors, case managers, etc. Experience healthcare or pediatric office experience Strong organizational and multitasking abilities. Excellent communication and customer service skills. Experience with EMR or practice management software Knowledge of insurance verification and authorization Insurance billing experience
