This is an important position within our company. The Office Manager is the connection point between our customers, technicians, owners, and ongoing jobs. We are looking for someone who doesn't just answer phones and schedule appointments, but someone who takes ownership of the office and helps keep the entire business moving. The right person will be organized, confident on the phone, comfortable working independently, and able to stay ahead of what needs to happen next. Key ResponsibilitiesCustomer Service & Phones Answer incoming calls, texts, emails, and customer inquiries in a friendly and professional manner. Provide an excellent customer experience from the first phone call through completion of the job. Gather the appropriate information from customers and determine the correct next step. Follow up with missed calls, website leads, estimates, and customers who have not yet scheduled. Communicate appointment details, arrival windows, job expectations, and other important information to customers. Handle customer questions and concerns professionally and involve ownership when necessary. Scheduling & Dispatch Manage the daily and weekly schedule for technicians and field crews. Schedule carpet cleaning, upholstery, tile and grout, mold inspections, remediation, water damage, restoration, and other services. Keep the schedule organized while maximizing technician productivity and reducing unnecessary drive time or gaps. Communicate schedule changes with customers and technicians. Help prioritize emergency water, mold, and restoration calls when they come in. Look ahead at the schedule and proactively work to fill openings. Sales & Lead Follow-Up Follow up on incoming leads and unscheduled estimates. Help convert phone calls and online inquiries into booked appointments. Contact customers when appropriate to follow up on outstanding proposals. Identify opportunities for additional services when speaking with customers. Follow up with previous customers to help generate repeat business. Support company promotions, maintenance programs, and seasonal campaigns. The goal isn't high-pressure sales. The goal is making sure we're responsive, helpful, and not allowing good opportunities to get lost because nobody followed up. Job & Office Management Maintain accurate customer and job information in company systems. Make sure technicians have the information they need before arriving at a job. Review upcoming jobs for missing information, special instructions, or scheduling concerns. Track jobs from initial contact through completion. Maintain organized digital records and office documentation. Assist with invoicing, payments, deposits, receipts, and outstanding balances as needed. Follow up on unpaid invoices and communicate payment issues to ownership. Coordinate with vendors and other business partners when necessary. Restoration & Emergency Jobs Help coordinate incoming water damage, mold, fire/odor, and other restoration calls. Collect important information from customers so the field team can respond appropriately. Maintain communication with customers throughout longer restoration projects. Help keep job documentation organized and ensure required information is collected. Assist ownership and project managers with administrative needs related to larger restoration projects. Supporting the Team Serve as the main communication point between the office and field technicians. Help technicians resolve scheduling or customer communication issues throughout the day. Keep ownership informed of important customer, scheduling, staffing, or operational issues. Help maintain accountability around schedules, paperwork, job completion, and customer follow-up. Identify recurring problems and bring solutions to ownership rather than simply passing along problems. What Success Looks Like A successful Office Manager at

Qualifications Strong organizational and time-management skills. Excellent phone and customer service skills. Comfortable communicating with customers in both routine and stressful situations. Ability to manage multiple priorities at once. Strong attention to detail. Experience with scheduling, CRM (HouseCall Pro), invoicing, and other business software. Professional written communication skills. Dependable and consistent. Able to work independently and make reasonable decisions. Previous office management, scheduling, dispatch, home-service, restoration, construction, or customer-service experience is preferred.
