Job Description

Job Overview The Business Office Manager is responsible for overseeing the daily operations of the Business Office, including supervision of Patient Account Representatives and Intake Coordinators. This position ensures efficient revenue cycle operations, insurance verification processes, patient financial communications, collections, payment posting, and maintenance of accurate financial and patient account records. The Business Office Manager collaborates closely with Admissions, Clinical, Utilization Review, and Corporate Business Office teams to support operational efficiency, regulatory compliance, and exceptional customer service. Duties Oversee daily operations of the Business Office, including workflow coordination, task prioritization, and operational efficiency. Supervises Patient Account Representatives and Intake Coordinators, including scheduling, training, coaching, performance management, and annual evaluations. Oversee patient account processes including insurance verification, benefit reviews, collections, payment posting, deposits, and outstanding account balances. Ensures accurate and timely processing of patient financial information, billing documentation, daily revenue reporting, and month-end reconciliation activities. Coordinates and communicates with patients and families regarding financial obligations, payment expectations, out-of-pocket expenses, payment arrangements, and collections processes. Collaborates with Admissions, Utilization Review, Corporate Business Office to support reimbursement accuracy and continuity of financial operations. Oversees collection activities including chargeback disputes, bad debt review, refunds, write-off recommendations, and collection agency coordination. Ensures compliance with company policies, regulatory requirements, documentation standards, and quality improvement initiatives. Qualifications Strong knowledge of healthcare billing, collections, insurance, verification, and patient financial processes. Ability to supervise, coach, and support staff while maintaining accountability and productivity expectations. Strong analytical, organizational, and problem-solving skills with attention to detail and accuracy. Ability to build collaborative working relationships with patients, families, referral sources, vendors, corporate departments, and multidisciplinary teams. Understanding of insurance benefits, deductible, co-payments, authorizations, and reimbursement procedures. Excellent verbal and written communication skills with ability to professionally communicate sensitive financial information. Ability to prioritize competing demands, manage workflow, and meet deadlines in a fast-paced healthcare environment. Ability to maintain confidentiality and comply with HIPAA and company privacy standards. Education and Experience Bachelor's degree in business administration or related field preferred A minimum of three (3) years' experience in a health care business office management position preferred. Must have a valid driver's license.
