This role is vital in ensuring smooth clinic functioning, exceptional patient care, and efficient administrative processes. The ideal candidate will possess strong organizational skills, familiartiy with healthcare or team management, experience in medical office administration, and a passion for fostering a positive patient and staff environment. As the cornerstone of our practice, you will coordinate clinical workflows, manage staff, ensure compliance with healthcare regulations, and optimize financial performance to support our mission of delivering outstanding physical therapy services. Duties Oversee all aspects of clinic operations, including patient scheduling, billing, and administrative support to ensure seamless service delivery. Mange Payroll using Paychex, for all clinical staff. Coordinate filings and contributions with TPA for 401k and profit sharing plan. Manage healthcare staff including therapists, administrative personnel, and support staff through effective supervision and team leadership. Maintain compliance with healthcare regulations such as
HIPAA, JCAHO
standards, and state/federal health policies. Utilize EMR (Electronic Medical Records) systems like Eaglesoft, Dentrix, or other EHR (Electronic Health Records) platforms to manage patient records accurately and securely. Monitor clinic budgets, control expenses, and implement fiscal management strategies to maximize operational efficiency. Ensure adherence to health regulation policies by conducting regular audits and staff training on compliance standards. Facilitate human resources functions including hiring, onboarding, training, performance evaluations, and conflict resolution. Promote excellent customer service by addressing patient inquiries promptly and maintaining a welcoming environment. Support practice growth initiatives by analyzing operational data and implementing process improvements.
Requirements Proven experience in medical office management or healthcare practice management within a clinical setting such as physical therapy clinics or similar healthcare environments. Strong supervisory skills with experience managing teams in healthcare or dental offices. Proficiency in EMR/EHR systems such as Eaglesoft or Dentrix; familiarity with patient management software is essential. Extensive knowledge of healthcare regulations including HIPAA compliance and health policy standards like JCAHO accreditation requirements. Demonstrated fiscal management capabilities including budgeting, medical billing, financial reporting, and managed care processes. Excellent managerial communication skills combined with customer service expertise to foster team collaboration and patient satisfaction. Knowledge of medical terminology, medical records management, and electronic health records systems for accurate documentation. Experience with office management tools such as Microsoft Office Suite for reporting and correspondence purposes. Acute care or hospital experience is preferred; familiarity with dental clinic operations is a plus. Ability to handle multiple priorities efficiently while maintaining attention to detail in a fast-paced environment.
