This is more than a traditional administrative position. We are looking for someone who can master the day-to-day details of our office while also seeing the bigger picture—someone who notices what needs to be done, takes ownership, improves systems, and helps us build better ways of operating as we grow. You'll begin by learning our existing systems, processes, clients, and team. As you become confident in the role, you'll have the opportunity to improve workflows, develop procedures, implement new ideas, and take increasing ownership of the administrative side of the business. What You'll Be Responsible For CRM & Office Operations Become highly proficient in our CRM and other business software Maintain accurate and complete client records Schedule installations, service appointments, meetings, and other company activities Create and send invoices Organize and send maintenance program information Maintain office documents, forms, and printed materials Help implement and improve administrative systems and workflows Learn and evaluate new software and tools as the company grows Keep memberships, subscriptions, and company accounts organized and current Client Experience Respond to new client inquiries by phone, email, and text Provide professional, friendly, and timely communication with existing clients Ensure client files and required documentation are complete and accurate Follow up with clients after installations and service appointments Help manage the client journey from initial inquiry through long-term maintenance Identify opportunities to make our client experience even better Administrative & Marketing Support Print, file, organize, and maintain company materials Assist with direct-mail campaigns Collaborate with the team on newsletters and client communications Coordinate memberships, events, meetings, and other administrative needs Participate in team meetings and help ensure action items don't fall through the cracks Support company leadership with administrative projects and priorities What We're Looking For Computer proficiency is a must . We don't expect you to know our specific programs when you arrive—we'll teach you those. We do expect you to be comfortable with technology and capable of learning new software quickly. The right person will also have: Exceptional organizational skills Strong written and verbal communication Excellent attention to detail The ability to manage multiple priorities and meet deadlines Confidence learning new systems and responsibilities Initiative—you don't need to be told about the same problem three times before addressing it Good judgment and problem-solving skills The ability to think creatively and suggest better ways of doing things Reliability and punctuality A positive, professional attitude The ability to work independently while also being a strong teammate Respect for confidential company and client information Reliable transportation to work This is an in-person position and is not eligible for remote work. Training will happen intentionally, and responsibilities will be added as you become comfortable and confident with our systems.
