Job Description

Sansone Jr's Automotive is seeking an experienced Assistant Office Manager to support the daily accounting, administrative, DMV, and financial operations of our automotive organization. This position requires a strong dealership accounting background and hands-on experience with bookkeeping, motor vehicle/DMV processing, and vehicle billing . The Assistant Office Manager will work closely with the Office Manager and senior leadership while assisting with the financial and administrative responsibilities of multiple entities within the organization. The ideal candidate is highly organized, detail-oriented, dependable, and comfortable managing multiple priorities in a fast-paced automotive dealership environment. Key ResponsibilitiesDealership Accounting & Financial Operations Assist with daily dealership accounting and bookkeeping functions. Complete daily bank sheet posting. Prepare and maintain daily liability reports. Perform bank reconciliations and reserve reconciliations. Maintain and reconcile rebate schedules. Manage and review COD lists. Assist with vehicle flooring and floorplan-related transactions. Process intercompany checks and floorplan transfers. Assist with month-end closing responsibilities for NJAL and DCS. Assist senior leadership with bookkeeping and accounting responsibilities for additional affiliated entities. Vehicle Billing, DMV & Funding Process and oversee motor vehicle/DMV documentation and transactions. Assist with vehicle billing and related dealership paperwork. Mark and track the receipt of vehicle titles. Process vehicle payoffs on a daily basis. Prepare and send payoff checks. Assist with cancellations and related accounting adjustments. Handle NJAL posting and funding responsibilities. Support accurate and timely completion of dealership title, registration, and funding processes. Banking & Daily Office Operations Assist with NJAL banking and credit card activity. Maintain and reconcile daily safe activity. Distribute incoming mail and FedEx deliveries. Pull daily invoices for receptionists and other dealership personnel as needed. Maintain accurate documentation and records for assigned accounting and administrative functions. Work closely with the Office Manager, Controller, department managers, and other team members to ensure reporting is accurate and completed on time. Provide additional administrative and accounting support as necessary to keep dealership and affiliated-entity operations running efficiently. Required Qualifications Minimum 3 years of automotive dealership office experience required. Previous hands-on experience with dealership bookkeeping/accounting required. Previous motor vehicle/DMV experience required. Previous experience with vehicle billing/deal billing required. Strong understanding of automotive dealership accounting principles and processes. Ability to manage multiple responsibilities, deadlines, and entities simultaneously. Excellent organizational and attention-to-detail skills. Strong written and verbal communication skills. Ability to maintain confidentiality when handling financial, employee, and dealership information. Demonstrated reliability, professionalism, and ability to work effectively with dealership leadership and office personnel. Preferred Qualifications Proficiency with DealerTrack, Reynolds & Reynolds, or a similar dealership management system (DMS). Previous experience supporting an Office Manager, Controller, or Senior Controller. Experience with A/R, A/P, vehicle flooring, reconciliations, funding, title work, and dealership month-end closing. Experience supporting accounting operations across multiple dealerships or affiliated business entities. Previous leadership or office staff supervisory experience.
