Overview of This Position:
The Office Administrator (OA) serves as the first point of contact and ambassador for the company. As the welcoming face and voice of the office, the OA provides a professional and positive experience to residents, vendors, employees, and visitors. This role plays a vital part in the smooth operation of the property management office through strong administrative support, organizational diligence, and consistent caretaking of the office environment.
Responsibility Areas:
Reception & First-Line Communication Serve as the initial point of contact for visitors and callers, delivering professional, courteous assistance and directing inquiries appropriately. Schedule appointments and manage office visit coordination. Answer incoming calls, take detailed messages, and route to appropriate staff as needed. Administrative Support Open, date-stamp, and scan incoming mail; distribute appropriately. Organize and maintain administrative files (digital and physical). Order and maintain office supplies and materials. Perform data entry and assist with document preparation. Generate and send letters, gather and organize paperwork for further processing by the Property Manager. Once documents are finalized by the Manager, facilitate signing process with residents. Provide light data analysis and assist with basic report generation. Support event planning and execution for office functions or resident activities. Office Upkeep & Inventory Maintain a clean, professional, and welcoming office space by keeping common areas neat and orderly. Monitor and replenish office and janitorial inventory. Coordinate any necessary supply orders and service appointments. Ensure the office building reflects a polished and professional image at all times.
Application & Leasing Support:
Waiting List Management Date-stamp and time-stamp all waiting list applications upon receipt. Review applications for completeness; return once for missing items if necessary. Enter applicant information into OneSite and input income to assess qualification. Additional Duties Enter maintenance work orders upon receipt from residents. Create, support and attend Resident Activites Develop, organize, and implement activities that meet the needs of a diverse and changing population, including exercise, music, arts and crafts, entertainment, movies, classes, and seminars. Review and evaluate these programs and recreational services regularly to ensure resident needs are being met. Coordinate and attend all planned activities and events Manage and create weekly and monthly event calendars. Manage the calendar for community room use by residents, scheduled activities, and special events. Plan and coordinate holiday events. Obtain the necessary items for these programs, such as food and products, to maintain the events. Maintain the Bulletin boards in the Lobby, Community Room, and individual floors. Support any and all tasks as directed by the Property Manager or leadership team.
Pay:
$20.00 - $25.00 per hour
