Brief Summary:
Summit Motorsports Park is a 'Bader Family' owned and operated freshly renovated 300-acre entertainment complex specializing in presenting family orientated motorsports entertainment. Open April thru October, SMP hosts nearly 60 events annually and is coming off one of the best years in its 61-year history. Marquee events include the Night Under Fire and the Summit Racing Equipment NHRA Nationals. Summit Motorsports Park is the industry leader in motorsports entertainment.
Note:
You will work many weekends during the race season.
Responsibilities:
Meet and greet clients, vendors and visitors
Answer telephones and transfer to appropriate team member
Oversee all aspects of general office coordination
Organize and oversee all aspects of office housekeeping
Maintain confidentiality in all aspects of client, staff and agency information
Open, sort and distribute incoming correspondence, including mail, faxes and e-mail
Oversee all aspects of ticketing software (www.tix.com) including maintenance, reporting and ticket fulfillment
Operate UPS software for all outbound packages
Sign for and distribute UPS/FedEx or similarly delivered packages
Prepare responses to correspondence containing routine inquiries
Perform general clerical duties to include, but not limited to, bookkeeping, copying, faxing, mailing and filing
File and retrieve organizational documents, records and reports
Coordinate and direct office services, such as records, budget preparation, personnel and housekeeping
Create and modify documents such as invoices, reports, memos, and letters using Microsoft Office, Publisher and other database programs.
Maintain database using best practices
Set up and coordinate meetings and conferences
Research, price and purchase office furniture, equipment and supplies
Support staff in assigned project-based work
May supervise support personnel
Assist with overall maintenance of the organization and its offices
Oversee all aspects of guest services including answering questions, ticket fulfillment and participant payouts

Computer literacy with proficiency in Word, Excel & PowerPoint
Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, copiers and facsimile machines
Knowledge of the basic principles and practices of bookkeeping
Ability to work well with all levels of internal management and staff, as well as outside clients, vendors and participants
Ability to handle and/or assist with training of ancillary team members when necessary
Ability to address all "issues" whether related to office or guests
Experience with public presentations/face to face meetings
Excellent time-management and organizational skills
