WHAT WE ARE LOOKING FOR IN A BUSINESS OFFICE MANAGER
The Business Office Manager assists the Executive Director in the day-to-day administrative activities of the Community. As the Business Office Manager, you will oversee the Billing, Invoices, Payroll, may assist with hiring process, and Human Resources needs of the community. Exceptional organizational skills, attention to detail, computer skills, and customer service abilities are vital to success in this role.
RESPONSIBILITIES OF THE BUSINESS OFFICE MANAGER
The general responsibilities of the Business Office Manager include, but are not limited to: Serves as the direct supervisor for the Receptionist(s) ensuring efficient front office operations, consistent customer service practices, and compliance with community policies. Communicate clearly with residents, staff, family, and vendors, demonstrating expert-level knowledge of policies, procedures, and the community Manage resident billing, including the collecting, recording, and depositing of rent Maintain department budgets, ensuring spending is within budget and invoices are accurately recorded Provide general Human Resources support, including overseeing compliance with employment laws and policies Oversee coordination of the new-hire process, including recruiting, interviewing, onboarding, orientation, and facilitating training Ensure that semi-monthly payroll is accurately prepared and reported to Management on time, using Paylocity software Maintain accurate and complete resident files, business office files, and personnel files
SCHEDULE OF THE BUSINESS OFFICE MANAGER
This position is a full-time position, scheduled Monday through Friday from 9:00 AM to 5:00 PM. Must be able to work a flexible schedule to accommodate occasional after-hour or weekend needs.

COMPENSATION
Compensation is dependent upon experience and qualifications, starting at $55,000/yr. for those meeting the minimum qualifications.
QUALIFICATIONS
Experience:
2 or more years of experience in an Assisted Living Business Office role preferred, or 3-5 years in relevant position(s).
Knowledge:
Experience with Employment Laws, Accounts Receivables, Accounts Payable, and general Human Resources.
Skills:
Proficiency in Microsoft Office, Excel, Outlook, Windows computers, printers, typing, and business communication.
Education:
Must have a high school diploma or equivalent, Associates Degree or above preferred. The ideal candidate will bring strong accounting, payroll, and administrative experience. Knowledge of Medicaid billing, spend-down processes, and resident account management in an assisted living setting is highly desirable. Must be able to effectively communicate in English, both verbally and in writing. Must be able to lift up to 50 pounds, walk/stand 50% or more of shifts, and respond to all emergency needs quickly, with or without reasonable accommodation.
