Thea's Organizing Services is growing, and we are looking for an exceptional Office Manager to help us move from good to great. This is not a position for someone who wants to simply check tasks off a list or wait to be told what to do next. We are looking for someone who sees a complicated process and immediately starts thinking about how to simplify it. Someone who notices when something could run more efficiently, catches details before they become problems, and genuinely enjoys creating order behind the scenes. Most importantly, we need someone who can become a trusted right hand to the owner and take ownership of the day-to-day administrative and operational side of a growing business. Our goal is to keep things simple, efficient, and personal as we grow. If you love making people's lives easier, solving problems, and improving how a business operates, this may be the role for you. What You'll Own Scheduling and Calendar Management You will manage the moving pieces of a busy and growing service-based business.
This includes:
Scheduling client consultations and project days Coordinating team schedules Managing meetings and appointments Communicating schedule changes Identifying conflicts before they become problems Helping improve our scheduling processes as the company grows We need someone who can look at the calendar, understand the priorities of the business, and help make the puzzle pieces fit. Client Communication and Follow-Up You will be an important point of communication for our clients and potential clients.
Your responsibilities will include:
Managing and responding to daily emails Answering and returning phone calls Following up with potential and current clients Communicating next steps clearly Tracking needed follow-ups Making sure communication is timely, professional, and compassionate Helping ensure important client details do not fall through the cracks Our clients often contact us during major life transitions or when they are already feeling overwhelmed. Clear, kind, and dependable communication matters. Client Tracking and Systems We already have systems and processes in place, but as we grow, those systems need to grow with us. You will help us maintain and improve how we track: New client inquiries Consultations Estimates and proposals Follow-ups and next steps Active projects Scheduling status Client communication Project completion We are not asking you to walk in and build everything from scratch. We are looking for someone who can learn how we currently operate, identify where things can be simplified or improved, and help us create systems that continue to work as our client volume and team grow. Systems, Processes, and Growth This is one of the most important parts of this position. We are growing quickly, and we want to grow intentionally. You will work closely with the owner to evaluate our daily operations and help simplify, document, and improve how we work.
This may include:
Improving existing workflows and processes Creating and updating standard operating procedures Simplifying repetitive administrative tasks Improving internal communication Helping us better utilize our CRM and technology Creating templates and automations Organizing internal documentation Researching tools, resources, vendors, and solutions Identifying bottlenecks and bringing potential solutions Adjusting systems as our team and services grow We are not looking for someone who says, "That's how we've always done it." We want someone who asks, "Is there a simpler and more efficient way to do this?" Owner and Business Support One of the primary goals of this position is to take daily administrative and operational responsibilities off the owner's plate. We want our owner focused on clients, leadership, community partnerships, business development, and the future of the company. You will help make that possible.

Email and inbox management Research and information gathering Documentation and recordkeeping CRM management QuickBooks Online support Vendor communication Tracking deadlines and follow-ups Assisting with special projects Helping prioritize administrative needs Anticipating what needs attention before being asked We are looking for someone who closes loops. If something needs a follow-up, it gets followed up on. If information needs to be researched, you find it. If a process is creating unnecessary work, you help us find a better way. Preferred Experience Office management or administrative operations experience Experience supporting a small business owner or executive Experience managing client communication and scheduling Experience with CRM platforms SMMWare experience is a plus QuickBooks Online experience Experience improving workflows, procedures, or SOPs Experience implementing or improving business systems Small business or nonprofit experience is a plus Experience supporting a growing team You do not need to know every system we use on day one. You do need to be comfortable learning, asking thoughtful questions, and taking ownership. Grow With Us This is more than an administrative position. We are looking for someone who wants to build a long-term career and grow with our company. As the business expands, we expect this position to develop into a key operational leadership role. Our goal is to add administrative support under this position by the end of the second quarter of 2027. The right Office Manager will help us determine what that support should look like and eventually help guide and oversee that position.
