Job Description

Office ManagerJob Overview Adat Shalom is seeking a highly organized, dependable, and detail-oriented Office Manager to support the day-to-day administrative, financial, membership, and facility operations of our synagogue. This position serves as an important point of connection between our members, clergy, staff, leadership, vendors, and visitors. The Office Manager will help ensure that the synagogue office operates efficiently while providing responsive and welcoming support to our congregation. The ideal candidate is self-motivated, comfortable working independently, able to manage multiple priorities, and willing to take initiative in a small, community-focused organization. Responsibilities Serve as a primary point of contact for the synagogue office, including answering phones, responding to emails and general inquiries, greeting visitors, and assisting members Manage incoming and outgoing mail, maintain organized electronic and paper files, and ensure administrative records are accurate and up to date Maintain office supplies and coordinate routine office needs Provide administrative support to clergy, synagogue leadership, committees, and staff as needed Maintain membership records, contact information, household information, and other congregation-related records Assist with new member onboarding, membership changes, and general member questions Assist with member billing, dues, security assessments, tuition, fees, and other synagogue charges Process and accurately record donations, contributions, sponsorships, tributes, and other payments Provide acknowledgment letters, contribution information, and other donor-related administrative support Assist with High Holiday administration, including member communications, ticketing or registration, seating information, payments, mailings, and other seasonal preparations Assist with synagogue programs, events, religious services, meetings, and community activities, including scheduling, registration, communications, and administrative coordination Maintain and help coordinate the synagogue calendar, including room usage, meetings, programs, lifecycle events, religious services, rentals, and outside groups Coordinate with vendors and contractors for building maintenance, repairs, supplies, inspections, and other facility needs Maintain vendor records and assist with scheduling and follow-up related to facility projects and repairs Manage accounts payable and accounts receivable, including processing invoices, payments, deposits, and financial transactions Perform duties associated with bi-weekly payroll processing Maintain financial records and ledgers, reconcile accounts, investigate discrepancies, and assist with preparation of routine financial reports Assist with tracking receivables, outstanding balances, pledges, and member accounts Maintain confidentiality when handling member, donor, employee, and financial information Assist with mailings, synagogue communications, special projects, and other administrative responsibilities as requested Qualifications Proven experience in office administration, office management, bookkeeping, or a related position Self-motivated and capable of working independently with limited supervision Strong organizational skills and exceptional attention to detail Ability to manage multiple priorities, meet deadlines, problem-solve, and adapt to changing needs Strong written, verbal, and interpersonal communication skills Professional, welcoming, and comfortable interacting with members, clergy, staff, volunteers, vendors, and the public Strong judgment and discretion when handling confidential or sensitive information Willingness to learn, take initiative, and identify opportunities to improve administrative processes Experience with QuickBooks Desktop, Microsoft Office, and Excel Experience with accounts payable, accounts receivable, bookkeeping, payroll, or financial recordkeeping preferred Experience with membership databases, donor management systems, or similar software is a plus Prior experience with a nonprofit, synagogue, religious organization, membership organization, or community-based organization is preferred but not required Additional Information Adat Shalom is a welcoming, inclusive community synagogue nestled in the Fox Chapel area of Pittsburgh, Pennsylvania.
