Our center will combine personal training with optional physician fitness evaluations, nutrition counseling, body-composition monitoring, and nutritional supplements. The Office Manager will oversee daily front-office operations, create an exceptional client experience, support membership growth, and help clients understand the products and services available to support their goals. The ideal candidate has experience working in a fitness center, wellness facility, nutrition business, supplement store, health club, medical office, or specialty retail environment . This person should be comfortable discussing fitness and nutrition products, recommending appropriate services, and converting inquiries into memberships and appointments without using high-pressure sales tactics. Primary Responsibilities Manage the center's daily administrative and front-office operations Welcome clients and provide a professional, encouraging experience Respond promptly to telephone, email, website, and social-media inquiries Explain personal-training programs, nutrition services, physician evaluations, memberships, packages, and pricing Conduct facility tours and assist prospective clients with enrollment Schedule personal-training sessions, physician evaluations, nutrition consultations, and follow-up appointments Coordinate schedules among clients, trainers, the physician, and the nutrition professional Process cash-pay transactions, packages, memberships, cancellations, and refunds Maintain accurate client accounts, appointment schedules, and business records Monitor attendance and follow up with inactive clients or missed appointments Assist with client retention, membership renewals, and referral programs Maintain nutritional-supplement inventory, displays, pricing, and reordering Educate clients about available supplements using approved product information Recommend relevant products and services based on each client's stated goals and professional recommendations Identify opportunities to add nutrition consultations, fitness evaluations, packages, and supplements to a client's program Track membership sales, appointments, product sales, leads, conversions, and other performance measures Help develop promotions, community events, social-media content, and local outreach Ensure the reception area, retail displays, offices, and client-facing areas remain clean and organized Protect confidential client information and follow all applicable privacy policies Assist management with hiring coordination, staff scheduling, procedures, and operational improvements Required Qualifications At least two years of office management, fitness-center, wellness, nutrition, retail, membership-sales, or related customer-service experience Experience recommending or selling nutritional supplements, wellness products, memberships, or service packages Strong knowledge of customer service, consultative selling, and client retention Excellent organization, communication, and follow-up skills Comfortable discussing basic fitness, nutrition, and wellness concepts Ability to confidently explain pricing and ask clients to enroll or purchase Experience with scheduling, payment-processing, point-of-sale, or customer-management software Ability to manage several schedules, priorities, and client needs simultaneously Professional appearance and a welcoming, positive attitude Basic proficiency with email, spreadsheets, online scheduling, and social media Ability to work independently and take ownership of daily operations Preferred Qualifications Previous management experience in a gym, personal-training studio, wellness center, supplement retailer, weight-management program, med spa, physical-therapy practice, or medical office Knowledge of sports nutrition, protein supplements, vitamins, hydration products, weight-management products, and general wellness merchandise Personal-training, nutrition, health-coaching, or fitness-related certification Experience launching a new facility or helping grow a membership-based business Experience managing independent trainers or coordinating healthcare professionals Familiarity with local marketing, lead follow-up, community partnerships, and social-media promotion CPR/AED certification or willingness to obtain certification What Success Looks Like The successful Office Manager will: Keep daily operations organized and professional Respond quickly to prospective-client inquiries Convert qualified leads into paying clients Maintain strong relationships with current members Increase participation in nutrition and medical-fitness services Grow nutritional-supplement and wellness-product sales Ensure trainers and healthcare professionals have accurate schedules and client information Help create a supportive environment where clients feel welcomed, encouraged, and accountable Important Expectations This position involves educating clients and promoting products and services, but the Office Manager will not diagnose medical conditions, prescribe treatment, or make unsupported medical or nutritional claims. Clinical questions will be referred to the physician or licensed nutrition professional. Some evening or weekend availability may be required based on client demand.
